We are currently hiring a Front Office Coordinator to join our team of aesthetic professionals at Plastic Surgery Associates & Allegro MedSpa in Santa Rosa, CA.

As a Front Office Coordinator, you will serve as the initial point of contact and representative of the practice to all visitors and phone inquiries, ensuring a positive and professional impression. The role involves front desk check-in/check-out, appointment scheduling, and patient communications. The ideal candidate will possess excellent customer service skills, have knowledge of medical terminology, and be proficient in computer use.
Work Schedule:
Monday - Friday 8:00 AM - 5:00 PM, including some Saturdays 9:00 AM - 4:00 PM Responsibilities include: Greet and welcome new patients and visitors with excellent customer service skills. Triage phone calls according to protocol. Present forms (paper and electronic) to be filled out, providing assistance as needed. Verify and update demographic information on established patients. Provide registration forms. Accurately enter all demographic information into the practice management system. Schedule appointments professionally, accurately, and courteously, following protocol. Ensure follow-up appointments are scheduled before patients leave. Monitor and modify providers’ scheduling templates to maximize efficiency. Handle all areas of patient check-in and check-out. Collect payments for cosmetic procedures or products and accurately enter charges into the system. Post collected monies to appropriate line items and prepare deposits with a second person, following protocol. Count cash, prepare deposits, and reconcile daily transactions. Maintain orderliness of the waiting area, ensuring cleanliness and organization. Assist in training new Patient Entry staff. Maintain a professional appearance and grooming. Perform other duties as needed. Telephones: Retrieve and manage voicemail messages. Take and relay patient messages accurately. Schedule and reschedule appointments professionally, following guidelines. Use waiting lists and contact patients accordingly. Qualifications: High school diploma or equivalent. At least two years of experience in a medical practice, hospital, customer service, retail, or hospitality environment (training available for the right candidate). Knowledge of HIPAA regulations to keep patient information private and secure. Excellent communication and telephone etiquette skills. Ability to work well in a team environment. Ability to multitask with attention to detail.
