We are seeking a dynamic Administrative Assistant to join our clients team, located in beautiful Los Angeles metro. As the heartbeat of our operations, you'll play a pivotal role in supporting our consulting professionals, ensuring their productivity soars to new heights.
Key Responsibilities
- Manage front desk operations, including answering calls, greeting visitors, handling mail, and coordinating deliveries.
- Maintain office organization, restock supplies, and prepare conference rooms.
- Provide administrative support such as data entry, filing, correspondence, expense reporting, and invoicing.
- Assist with client proposals, special projects, and document preparation.
- Oversee office logistics, including supply management, documentation processing, and invoice reconciliation.
- Support corporate events from planning to post-event cleanup.
- Handle scheduling, travel arrangements (domestic/international), and calendar management for multiple individuals.
- Process expense reports and invoices while ensuring compliance with administrative guidelines.
- Coordinate meetings, office activities, and events, including venue selection, catering, and communications.
- Troubleshoot and address issues with internal and external stakeholders.
- Provide backup coverage for reception and office operations as needed.
Must-Have Qualifications
- Experience: 1-3 years as an administrative assistant/executive assistant
- Education: High school diploma required; Bachelor’s or Associate’s degree preferred.
- Software: Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
