Reports To: The Receptionist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.
Job Overview
Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. The role offers the highest level of service to all corporate employees and visitors while maintaining a professional image of the company. As a cross‑trained team player the receptionist may also assist in other service areas such as mail/shipping operations, hospitality, and general office work based on operational needs.
Main Functions
- Primary reception/concierge: answer all calls and provide an exceptional customer service experience for all incoming/outgoing visitors.
- Light facilities/hospitality work: perform hospitality work as needed such as assisting customers with troubleshooting tickets, ordering supplies, stocking kitchens/service areas with supplies, and setting up/taking down conference rooms for meetings/events.
- Mail Service: cross‑train to assist with sorting/distributing mail and receiving/tracking packages.
Duties and Responsibilities
- Provides 5‑star customer service to all employees and visitors.
- Answers incoming telephone calls and routes callers appropriately.
- Ensures all visitors complete, sign, and understand their responsibility for adhering to the corporation’s NDA.
- Logs visitors into the registration system and activates temporary badge access for employees.
- Issues facility access cards to employees and maintains a current phone/speed dial list.
- Prioritizes calls and escalates customer service issues to the proper chain of command.
- Provides light administrative support to staff as directed (scheduling meeting rooms, ordering catering, compiling manuals).
- Monitors office supplies and replenishes pantry, conference, kitchen, and meeting areas.
- Assists with copy/print orders and monitors copy/print equipment for satisfactory functionality.
- Builds professional relationships with customers and other teams and maintains professionalism and composure when interacting with all callers/visitors.
Qualifications and Education Requirements
- High School Diploma (or equivalent) required.
- 1‑3 years prior work experience, with strong preference for previous administrative/reception/concierge professional experience.
- Excellent organizational and time management skills; strong written and verbal communication skills.
- Strong task‑driven personality driven by customer satisfaction; ability to multi‑task and prioritize tasks.
- Current knowledge or ability to use computer‑based systems (multi‑phone line systems, PC/Mac, MS Office, multifunction devices).
- Professional appearance and attitude required; adherence to all policies and procedures.
Physical Demands
- Fine and/or gross motor skills, including the ability to lift and carry packages on a standard wheeled cart with a load capacity of 60 lbs.
- Ability to walk, bend, kneel, stand, and sit for an extended period of time.
- Manual dexterity required for operating office machinery (phone, copy machines, binding equipment).
- Ability to lift or move 40 lbs or greater frequently.
