Role Overview
Secretary - Secondary at West Ada School District. The Head Secretary serves as the heart of the school’s operations—balancing precision, creativity, and care in every interaction. This position oversees key administrative functions, including student registration and records management, school bookkeeping, and coordination of student auditions and admissions. As a trusted partner to the principal, staff, and families, the Head Secretary ensures smooth daily operations, accurate financial and student records, and a welcoming, professional atmosphere for all who walk through IFAA’s doors.
Responsibilities
- Administrative support for school attendance, counseling, and administration; cross-train in various areas.
- Record and maintain daily attendance; check students in and out; write admit and tardy slips.
- Communicate with parents regarding student attendance.
- Prepare and distribute attendance reports; process transcript requests.
- Prepare and maintain confidential information and records.
- Generate and distribute computer reports for counselors, teachers, and administrators.
- Coordinate the needs of substitute teachers.
- Maintain personnel reports with staff absences.
- Prepare and mail parent newsletters.
- Maintain and operate school bell system on numerous schedules.
- Answer incoming phone calls, providing referrals to other departments or staff as needed.
- Operate standard and specialized office equipment, including computer hardware/software.
- Assist students and parents with registration and withdrawal processes.
- Create and maintain a supply of necessary forms used in department.
- Purchase supplies through district accounting system and verify receipt.
- Receive and distribute incoming mail and packages.
- Assist with preparations for Parent Teacher Conferences, Open House and other functions.
- Type forms, letters or other documents.
- Assist with standardized testing.
- Perform scheduling/calendar duties.
- Perform all work duties and activities in accordance with District policies, procedures and safety practices.
Qualifications
- High school diploma or GED equivalency.
- Some general office experience; or any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
Terms of Employment
