Executive Assistant
Position Overview
We are seeking a highly organized, tech-savvy, and trustworthy Executive Assistant to support the agency’s executive leadership team. This role will provide direct administrative support, assist with project coordination, and help drive execution across the organization. The ideal candidate will be proactive, adaptable, and comfortable handling sensitive information while working closely with leadership and team members at all levels. This position is primarily based in-office with occasional travel to branch locations or external meetings.
Key Responsibilities
Administrative Support
Manage calendars, scheduling, and meeting logistics for executive leadership
Draft, edit, and prepare correspondence, reports, and presentations as needed
Take meeting notes, track action items, and ensure timely follow-up
Assist with travel arrangements, expense tracking, and general administrative tasks
Project & Operations Support
Support leadership on integration, workflow, and operational initiatives
Track timelines, milestones, and deliverables across projects
Pull reports, gather data, and assist with budget / financial visibility
Coordinate with team leads and department heads to ensure accountability
Take on portions of leadership initiatives and see them through to completion
Culture & Engagement
Assist with internal communications and morale initiatives
Help organize agency events, meetings, and team engagement efforts
Maintain a positive, professional presence as a representative of the executive team
Leadership Support
Serve as a flexible resource to multiple executives, with varying levels of involvement
Occasionally assist in preparing materials for partner / ownership-level meetings
Exercise discretion and judgment in handling confidential information and sensitive situations
Other duties as assigned
Qualifications
High School Diploma required; Associate or Bachelor’s Degree a plus
Prior experience in administrative support, operations, or project coordination required
Insurance or agency experience a plus but not required
Proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint) and comfort with learning new systems
Excellent written and verbal communication skills, with the ability to draft professional correspondence when needed
Strong interpersonal skills; comfortable interacting with leadership, staff, and external partners
Strong organizational and time management skills; ability to prioritize and juggle multiple tasks
Demonstrated initiative, problem-solving skills, and ability to work independently with limited handholding
High level of discretion, integrity, and professionalism
Hours
Monday-Friday, 8:30am-4:30pm; Fridays are remote
