GENERAL SUMMARY The Satisfactory Academic Progress (SAP) Coordinator reviews and processes all SAP appeals. This entails the use of professional judgment to determine a student’s merit in qualifying for financial aid in the future. They are responsible for monitoring student completion rates, GPA and program length. The SAP coordinator monitors grades for financial aid recipients placed on conditional probation and is responsible for tracking SAP data and reporting SAP outcomes as requested. This position requires excellent customer service and communication skills, as well as the ability and enthusiasm to gain a mastery of complex regulations and through training. The employment of critical reasoning is necessary.

This person serves as an advocate and Single Point of Contact (SPOC) for unaccompanied homeless youth (UHY). This person will serve as a strong support for any students lacking parental support while navigating the processes for determining dependency. These responsibilities include facilitating communication across campus departments in order to provide service and support resources to students.

Additionally, this position serves in a student advising, outreach and client services capacity and involves a great deal of student interaction. This position is required to effectively communicate financial aid policies to students, parents, the College and community members and to uphold grace & empathy during challenging interactions. This position will be responsible for backing up the Communications and Outreach Coordinator with all incoming email received at , as well as performing routine quality assurance checks on verification.

Duties and Responsibilities The SAP Coordinator will actively participate in professional development and training opportunities designed to continuously increase their knowledge of federal, state, and institutional policies regarding all types of financial aid (i.e., Pell Grant, Colorado Student Grant, Federal Direct Loans, Work-Study, etc.). This position will possess knowledge of Banner financial aid software and how to resolve data integrity issues and discrepancies within the system. An in-depth understanding of the Free Application for Federal Student Aid (FAFSA) will be exercised regularly. This position must be able to package financial aid awards based on needs-analysis, federal regulations, cost of attendance, and institutional budgets while determining a student’s eligibility for financial aid.

This position serves as the Chair for the Second Level SAP Committee. This position requires face-to-face interactions with a diverse population of students and will participate in outreach events as assigned, providing advice on the various aspects of financial aid (i.e., application procedures, verification documentation, scholarship and grant guidelines, federal and private loan conditions, Satisfactory Academic Progress requirements, etc.). Specific duties are subject to change, dependent upon department needs. The SAP Coordinator’s job duties can be broken down as follows :

Advise students

In person / phone / virtual / email contact

Inform students verbally and in writing of the status of SAP status and appeals

Advise unaccompanied homeless youth and independent minors through the financial aid process.

Satisfactory Academic Progress

Review SAP appeals

Update SAP status in Banner and package aid as appropriate

Prepare SAP appeals for second Level SAP Committee review

Work as a liaison with the CCCS SAP Committee

Educate CCD students and staff on SAP policies

Track SAP data and report outcomes

Actively participate in the CCCS SAP network / training group

Operational duties

Review and process the conditional probation report each semester.

Analyze SAP data and prepare SAP reports.

Communicate and maintain / update procedures as appropriate.

Perform quality assurance checks on verification.

Other duties as assigned

Qualifications MINIMUM QUALIFICATIONS : Any equivalent combination of education, experience, knowledge, skills, and abilities.

Education : (Minimum / Required) Associate degree (Direct financial aid experience may be substituted for the education on a year for year basis, and will not count towards the experience requirement below).

Experience : (required / minimum)

2 years higher education experience or 3 years of customer service

Other Considerations : Extended hours may be necessary during peak processing times (usually January and August), based on job responsibilities and college calendar. Remote work may be available up to two days a week, after the first 60 days.
