Job Description Summary The Maintenance Planner/Scheduler is responsible for developing, coordinating, and managing comprehensive maintenance activities for a designated production area. This role is part of a team that owns the overall success of equipment readiness and serves as the critical link between maintenance execution and strategic maintenance management. The position focuses on building optimized maintenance schedules, managing the Maximo CMMS system, coordinating resources, and driving continuous improvement to maximize equipment reliability and minimize unplanned downtime.
Planning & Scheduling
Develop and manage daily, weekly, and monthly preventative maintenance (PM) schedules using staggered/level-loaded strategies to reduce downtime and improve efficiency.
Prioritize corrective and preventative maintenance work orders in Maximo based on safety, criticality, and operational impact.
Coordinate detailed work packages and job plans with operations schedules to minimize disruptions.
Track backlog and ensure visibility on upcoming work to align work management.
Optimize craft utilization through effective scheduling and visual management tools.
CMMS Management & Data Integrity
Serve as the Maximo CMMS focal for the assigned area, ensuring accurate equipment registration and hierarchy.
Maintain the master work management file and maintenance dashboard.
Support preventative maintenance schedules and job plans with detailed procedures, safety requirements, and materials needs.
Assist the reliability team with asset and job plan management; identify equipment for PM schedules.
Audit asset data, PM frequencies, and job plan accuracy; optimize Maximo functionality.
Be a resource to train maintenance personnel on Maximo documentation and system usage.
Materials & Resource Management
Identify and procure parts and materials for planned maintenance activities; update Maximo with work requirements.
Maintain accurate bill of materials for job plans and PM tasks.
Support project planning, purchasing, and vendor coordination for successful execution.
Cross-Training Program Management
Develop and maintain a cross-training tracking system for union maintenance personnel.
Create cross-training matrices to identify skill gaps and training needs.
Performance Management & Reporting
Monitor and report maintenance KPIs, including:
Schedule compliance and work order completion rates.
PM compliance percentage and planned vs. unplanned maintenance ratio.
Mean Time Between Failure (MTBF) and Mean Time To Repair (MTTR).
Backlog hours and aging.
Identify trends and share best practices across facility groups.
Documentation & Continuous Improvement
Ensure accurate documentation of maintenance activities in Maximo; refine standard procedures and job plans.
Support root cause analysis for repeat failures and ensure compliance with safety regulations and company standards.
Continuously improve Maximo data quality and system utilization.
Coordination & Communication
Facilitate scheduling meetings with supervisors and operational managers.
Communicate schedule changes and constraints to stakeholders.
Participate in labor-management meetings and supervisor daily stand-ups.
Education & Experience
Associate degree in Industrial Maintenance, Mechanical Engineering Technology, or related technical field with 5-7 years of industrial maintenance experience, including 2+ years in planning or supervisory roles and 2+ years of hands‑on experience with Maximo CMMS or similar programs.
OR High school diploma/GED with 10+ years of industrial maintenance experience, including 2+ years in planning or supervisory roles and 2+ years of hands‑on experience with Maximo CMMS or similar programs.
Technical Skills
Proficiency in IBM Maximo CMMS or similar programs (asset management, work orders, PM scheduling, reporting).
Strong knowledge of mechanical, electrical, pneumatic, and hydraulic systems.
Proficient in Microsoft Office Suite and Smartsheet.
Core Competencies
Exceptional organizational and time management skills.
Strong analytical skills with attention to detail and data accuracy.
Excellent written and verbal communication skills; ability to work effectively with union workforce.
Problem‑solving mindset with a proactive approach; self‑motivated with minimal supervision.
Preferred Qualifications
Bachelor’s degree in Engineering, Industrial Technology, or related field.
Certification in maintenance planning (CMRP, CRL) or IBM Maximo certification.
Experience with predictive maintenance technologies (vibration analysis, thermography, oil analysis).
Knowledge of Total Productive Maintenance (TPM) and OSHA regulations.
Previous experience in union labor relations or workforce development.
