Position Purpose The Receptionist/Office Assistant is the primary point of contact for the Boston Corporate Office and plays a vital role in the smooth functioning of the office. This candidate will maintain professionalism, efficiency, and support administrative duties while representing Veolia’s culture and hospitality.
Primary Duties / Responsibilities
Front Desk Operations: manage reception area, greet visitors, answer calls, screen and direct inquiries, maintain visitor log and security protocols, process incoming/outgoing mail and express shipping.
Office Management: oversee conference room bookings with Kadence software, maintain office supplies and kitchen areas, monitor equipment, coordinate catering for meetings and social events and support sustainability initiatives.
Administrative Support: provide clerical assistance to the management team, process expense reports and invoices, maintain the Administrative Google Drive, update employee email distribution lists, reconcile shipping invoices, and support office projects as needed.
Work Environment
In‑office position located in Downtown Boston.
Hours: 8:00 am – 5:00 pm, Monday–Friday.
Qualifications
GED required; college degree preferred.
Minimum two years of prior reception/office assistant experience.
Knowledge / Skills / Abilities
High sense of customer satisfaction, hospitality and service.
Familiar with the Google environment.
Able to work independently and handle a wide variety of situations, including conflict resolution.
Excellent verbal and written communication, organizational, prioritization, time‑management, and attention to detail.
Initiative, self‑motivation, professional demeanor and discretion handling confidential information.
Proactive approach to tasks, anticipating needs and minimizing risks.
Physical Requirements
Office environment; may require moving or lifting up to 25 lb.
Regular sitting, use of hands, reaching, talking, hearing.
Good vision required.

Additional Information / Pay Range Pay: $25.00 to $28.00 per hour.
