Job Profile Summary This role focuses on providing administrative and business support to the organization in order to achieve operational goals. The position performs general administration duties such as producing documents, collecting, recording, sorting and filing information, handling mail, preparing routine reports, making travel arrangements, arranging appointments, responding to inquiries, data entry and operating office equipment. The role requires basic knowledge of job procedures and tools obtained through work experience. It is performed under moderate supervision and may occasionally require interpretation or deviation from standard procedures.

Job Overview This position monitors and coordinates all surgical scheduling functions for the department, including answering patient inquiries, initial patient interviews, scheduling and facilitating surgical dates with patients and families or other support systems. It ensures surgeries may proceed as scheduled, assists the surgical biller with accurate coding and billing, and establishes systems to monitor and track departmental surgical functions while acting as liaison between the department and external organizations.

Minimum Qualifications

High school diploma or equivalent.

Two (2) years of experience with scheduling clinical procedures.

Duties and Responsibilities

Coordinate scheduling of the surgical sites and appointments for all physicians associated with a specific location in the department to achieve maximum utilization while adhering to Medical Center standards and regulations.

Conduct patient interviews to accurately document a patient’s status pre‑operatively.

Make necessary arrangements to qualify patients for surgery.

Coordinate all pre‑op tests and surgical procedures.

Gather and submit all pre‑operative patient information to the surgical facility to ensure the patient file is complete and the patient is cleared for surgery.

Record CPT codes for surgical procedures and provide reports of all charges post-operatively; work with the billing coordinator to forward batched reports.

Retrieve operative notes within 24 hours and ensure proper filing with the billing coordinator.

Maintain a surgical log detailing patient data, surgery time and place, billing information, and reimbursement dates.

Communicate with the manager and report problems or difficulties immediately.

Contribute to the development and update of policies and guidelines for patient screening and booking for surgery.

Ensure appropriate billing and reimbursement for each case.

Verify surgical referrals and authorizations before or after appointments and surgeries.

Establish and update patient information packets; maintain supplies and coordinate distribution to patients.

Represent the department in relationships with other departments of Tufts Medical Center.

Resolve surgical billing patient inquiries and complaints with the billing coordinator.

Obtain pre‑operative clearance from patients’ primary care physicians.

Respond to last‑minute patient questions prior to surgery.

Maintain collaborative, team relationships to help foster a positive work environment.

Inform patients of necessary pre‑operative guidelines and forward information packets.

Physical Requirements

Frequent sitting, occasional standing or working, and lifting of 10–15 lbs.

May be exposed to dust and other typical office-like discomforts.

Manual dexterity required for computer keyboard operation.

Ability to see the computer screen and read reports.

Ability to hear instructions from physicians and other clinical or nursing staff.

Skills & Abilities

Computer literacy with familiarity in word processing programs, electronic spreadsheets and ability to learn new applications.

Excellent interpersonal and customer service skills, including telephone skills.

High degree of tact for frequent interaction with patients, physicians, and insurance companies.

Ability to perform operating room scheduling using Meditech and MSM.

Knowledge of medical terminology and CPT coding standards.

Excellent organizational skills and attention to detail.

Ability to work independently with minimal supervision on routine matters.

Follow up and complete items related to scheduling.

Self‑motivated and flexible with work assignments.

Pay Range $21.53 - $26.91 per hour
