Position Summary The Grants Specialist is part of the Department administrative core team and is a key individual in the successful operation of an extensive portfolio of Grants and Contracts. This position works closely and collaboratively with Department Faculty, outside collaborators and institutions, as well as other members of the Chemistry grants team on pre-and post-award activities within the Department. This includes activities such as monitoring the status of all sponsored project contracts, assisting PIs with the submission of annual reports, the generation of monthly financial reports, and assisting with forecasting, project closeouts and proposal submissions. Responsible for a wide range of duties this position is expected to attend all recommended trainings provided by both the Sponsored Programs Administration and College of Arts and Science Research Offices.

About the Work Unit Chemistry is the intellectual home to over 250 students, post-docs, and faculty members working in a wide range of specializations, as well as the interdisciplinary fields of chemical biology, structural biology, molecular toxicology, materials chemistry, and nanotechnology. Close collaboration with the School of Medicine, School of Engineering and other departments within the College of Arts and Science-particularly the departments of Biological Sciences and Physics—provides valuable opportunities to not only excel in the traditional disciplines of chemistry but also investigate the many ways that chemistry intersects with other fields.

Key Functions and Expected Performance

Assist PIs with creation and submission of annual RPPRs.

Facilitate PI requests for no-cost extensions.

Adjust cost for grant-funded personnel as requested by department PIs.

Facilitate subaward contract signature process for incoming and outgoing agreements.

Generate necessary documentation in collaboration with Grants Manager for financial closeout of awards.

Process budget setup and revisions in VERA.

Maintain Other support documents for PIs.

Act as Procurement Requester for outgoing subawards.

Responsible for PI invoice approvals.

Provide outside departments with Other support, effort reports, and other ancillary data in a timely manner.

Assist with NCE requests.

Assist faculty and Grants Coordinator as needed in preparing and assembling grant proposals/contracts in compliance with sponsor, University, and federal guidelines and deadlines.

Assist Grants Manager as needed in preparing financial statements and forecasting data.

Perform other duties as assigned.

Supervisory Relationships

This position does not have supervisory responsibility; this position reports administratively & functionally to the Department Grants Coordinator.

Education and Certifications

An Associate's degree or combination of directly related experience and education is necessary.

Experience and Skills

Two years of directly related experience is necessary.

Intermediate Excel skills are necessary.

Strong administrative support skills are necessary.

Excellent organizational and time management skills are necessary.

Excellent written and verbal skills are necessary.

Outstanding attention to detail is necessary.

Problem solving skills and ability to be flexible are necessary.

Previous experience with Oracle reporting strongly preferred.
