Purpose The Middle School Administrative Assistant will perform a wide variety of office functions, supporting the Middle School administration in overall operations.
Essential Job Functions
Supports the school’s mission statement and department philosophy, and adheres to school policies and procedures.
Creates and ensures a warm, engaging office environment reflective of division objectives.
Assists with scheduling, retaining, and supporting substitute teachers.
Performs clerical duties including filing, copying, and preparing envelopes.
Greets and answers questions from parents via email, telephone, and in person.
Assists parents and students with concerns, reports jammed lockers, finds missing items, and delivers messages to students.
Tracks daily attendance; receives attendance lists from faculty, contacts parents of absent children, and communicates about late arrivals, early dismissals and planned absences.
Coordinates with Facilities and Security on related issues.
Maintains Middle School calendar and “My Pine Crest Communication Tile” for the division.
Helps prepare opening of school, registration documents and related events.
Supports student scheduling, class balancing, and schedule requests.
Assists with budget management and office supply ordering, including yearly teacher supply ordering.
Supports event planning (work orders, calendar invites, dining services).
Writes emails, notes and letters to parents; proofreads administrative communications.
Creates flyers, invitations, and small posters as needed.
Establishes and maintains positive, cooperative, effective working relationships with others.
Keeps division head advised of all developments and consults with supervisor when conflicts arise.
Performs other duties as assigned by the supervisor or designee.
Job Qualifications Education High School Diploma required; Bachelor’s degree preferred.
Experience and Qualifications
Minimum 3 years’ experience working in an office environment, preferably in an educational institution.
Intermediate proficiency in Microsoft Office (Word, Excel, Publisher), Google Workspace, and intranet applications.
Willingness to become a notary public and serve in that capacity for the division.
