Are you an organized, empathetic, and proactive professional looking to take ownership of the day-to-day operations in a thriving private practice? We are seeking a dedicated Front Office Coordinator who will serve as the first point of contact for our patients and ensure the efficient, smooth running of our front office. This role is more than just reception; it is an opportunity to be a key operational leader, handling everything from complex scheduling to patient issue resolution.
Key Responsibilities Front Office Operations Management: Oversee the daily flow of the front office to maximize efficiency and patient satisfaction. Expert Scheduling & Coordination: Manage multi-provider and multi-room scheduling, ensuring accurate appointment booking, rescheduling, and confirmation.
Patient Advocacy and Problem Resolution: Serve as the primary point of contact for patient inquiries, concerns, and issues, resolving them promptly and professionally with compassion and discretion.
Communication Hub: Manage a high volume of incoming calls, direct calls appropriately, and handle all professional correspondence (email, fax, etc.). Administrative Support: Manage daily administrative tasks including processing new patient intake forms, maintaining and organizing medical records (ensuring HIPAA compliance), and handling patient referrals.
Outreach and Engagement: Assist with outreach activities to referring providers or community partners to support practice growth.
Billing Support (as needed): Basic tasks such as verifying insurance eligibility, collecting co-pays, and assisting with simple billing questions.
What We're Looking For Proven Experience: Minimum of 5 years of experience in a medical office, private practice, or similar front-facing role.
Operational Competence: Demonstrated ability to manage complex scheduling and administrative tasks efficiently and accurately.
Exceptional People Skills: A genuinely warm, calm, and professional demeanor. Must be skilled at handling sensitive situations and difficult patient conversations with empathy and tact.
Proactive and Independent: The ability to work independently, anticipate practice needs, take initiative, and troubleshoot problems without constant supervision.
Tech Savvy: Proficient with Electronic Health Record (EHR) systems, Microsoft Office Suite, and general office equipment.
Required Education: High School Diploma or equivalent; Medical Office Certification/Associate's Degree preferred.
