The Department of Workplace Standards is seeking an Administrative Specialist Senior at the department level.This position will perform professional administrative support to the internal staff and leadership related tothe Department of Workplace Standards' business operations. This position will also serve as the primary contact and oversee themultiple equipment components for the department.

This position will have access to confidential information, so a successful candidate will berequired to ensure the safeguarding and security of all sensitive information. A candidate in this position will also be required to complete trainings, sign acknowledgments, follow all policies, and adhere to all statutes and requirements pertaining to the safeguarding and security of confidential and sensitive information while employed and after employment ends.

Duties of the position include, but are not limited to, the following: Manages and assigns equipment to the Department ofWorkplace Standards employees, including: sampling equipment, safety inspectionequipment, personal protective equipment, printers, and miscellaneous equipment. Tracks and maintains all equipment in a database to include location, calibration dates, monetary value,and onboarding and offboarding of employees. Acquires quotes, prepares purchase requests, and prepares equipment for shipping. Receives invoices to ensure correct payment for equipment calibration, maintenance, and repair, as well as personal protective equipment. Performs routine inventory management duties in the supply room by physical inspection to control location, tagging, value, transfers, or surplus of old equipment. Works with program managers and other team members to coordinate the organization of the supply room. Assists with coordinating the receipt and distribution of employee uniforms, as well as the disposal of old uniforms. Follows all state laws, rules, and regulations to ensure all equipment is compliant with calibration cycles according to the manufacturer's specifications and is repaired as needed. Maintains calibration certificates for all equipment. Ensures that out-of-service equipment is surplused in accordance with staterules and regulations. Performs administrative duties for other divisions within the department as needed. When you join our team, you will:

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.

EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.

Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
