Description We are looking for an experienced Litigation Legal Secretary to join our team in San Francisco, California. This role is essential in providing comprehensive administrative and legal support to attorneys, ensuring smooth case management and efficient operations. The ideal candidate will have a strong understanding of legal processes and a proactive approach to managing deadlines and priorities. Responsibilities:
- Coordinate attorney schedules by organizing meetings, depositions, court appearances, and travel plans while tracking filing deadlines and court requirements.
- Prepare and format legal documents, including pleadings and correspondence, ensuring accuracy and compliance with state and federal standards.
- Manage document submissions for court filings, discovery processes, arbitration, mediation, and hearings.
- Handle incoming and outgoing mail efficiently, ensuring timely delivery and proper routing as needed.
- Draft correspondence, analyze information, and arrange logistics for court reporters, expert witnesses, and other legal resources.
- Create and maintain reminder systems for deadlines and calendar events to support case preparation.
- Organize and maintain both client-specific and general files, periodically reviewing them for archiving or closure.
- Oversee conflict checks and new matter request forms, ensuring proper documentation and adherence to protocols.
- Communicate effectively with clients, maintaining confidentiality and professionalism to uphold attorney-client relationships.
- Assist with time entry, billing reviews, and document assembly, as well as any additional administrative tasks as required. Requirements - A minimum of 5 years of experience as a Litigation Legal Secretary or in a similar role.
- Proficiency in managing attorney calendars and scheduling complex legal activities.
- Expertise in creating Tables of Authorities (TOA) and Tables of Contents (TOC) for legal documents.
- Familiarity with e-filing processes for both state and federal courts.
- Strong attention to detail and organizational skills to manage multiple priorities effectively.
- Excellent written and verbal communication skills, with a focus on accuracy and professionalism.
- Ability to handle confidential information with discretion and maintain strong client relations.
- Proficiency in legal software and tools to support case management and document preparation.
