Description We are seeking a detail-oriented and proactive Executive Assistant to join a commercial real estate firm. This role is critical to ensuring seamless operations by providing high-level administrative support to the executive team. Key Responsibilities:
- Deliver high-level administrative support by managing critical tasks and priorities.
- Coordinate and screen incoming calls, emails, and other communications to ensure efficient processing and prioritization.
- Act as a central liaison, facilitating effective communication between executives and internal/external stakeholders.
- Organize and manage executive calendars, ensuring alignment with overarching priorities.
- Plan and facilitate executive-level meetings, including creating agendas, taking detailed notes, and preparing comprehensive minutes.
- Draft, revise, and finalize various documents, such as reports, presentations, correspondence, invoices, contracts, and spreadsheets.
- Conduct thorough research on assigned projects, business initiatives, and new opportunities as needed.
- Gain familiarity with the company's portfolio and stakeholder network to provide comprehensive and informed administrative support.
- Assist with business and real estate operations, ensuring shared electronic files are accurate and well-organized.
- Coordinate travel arrangements, including booking transportation and lodging, to meet business needs.
- Provide support for company events, deadlines, and ad-hoc project requirements, as assigned.
- Proven experience as an Executive Assistant or similar role, ideally within the commercial real estate industry.
- Minimum of 4-5 years of administrative support experience, with direct experience in commercial real estate strongly preferred.
- Proficiency with office software tools, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities, complemented by a proactive approach to problem-solving.
- Ability to work 100% on-site in a corporate office setting.
