Job Description
POSITION: Secretary III- Special Education
IMMEDIATE SUPERVISOR: Superintendent or their designee
EMPLOYMENT: 261 Days; Hours: 8:00 - 4:00
SALARY: Pursuant to WV Code §18A-4-8a, in accordance with
Mason County Salary Scale Pay Grade F commensurate with experience and education level
EVALUATION: Performance in this position will be evaluated annually by
the immediate supervisor and in accordance with WV State Code §18A-2-12, WV State Board
Policy 5314.
JOB SUMMARY: To provide secretarial, clerical, record keeping, organizational and support services in complying with statutes and policies pertinent to school personnel.
PERFORMANCE RESPONSIBILITIES: Additional duties may be assigned.
  • Two years of vocational training or college preferred and three years of progressively responsible secretarial experience preferable in a school setting.
  • Skilled in maintaining financial budgets/records.
  • Skilled in and able to learn multiple computer programs.
  • Skilled in computer operations and use of computer programs involving word processing, data bases, spreadsheets, use of telephone, calculator, copier and other office equipment.
  • Ability to maintain the confidentiality of sensitive and confidential information related to programs and students.
  • Ability to work independently prioritizing tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail.
  • Ability to work harmoniously with others and communicate effectively with a diversity of public and district personnel using tact, courtesy and good judgement.
  • Ability to perform administrative support functions requiring independent judgement, decision making and problem solving.
  • Ability to understand and follow oral and written directions.
  • Ability to establish and maintain filing and record keeping systems.
  • Ability to establish and maintain district-wide textbook inventories/resources.
  • Ability to deal with and respond to records request from other agencies and school districts.
  • Ability to type accurately and rapidly, draft correspondence as directed by the supervisor(s).
  • Ability to scan student records in electronic scanning system.
  • Possess language skills including composition, punctuation, spelling and correct usage.
  • General office management- supplies/maintenance records for office equipment.
  • Maintain satisfactory attendance.
  • Type correspondence and maintain files relating to confidential and sensitive information.
  • Responsible for Medicaid Billing
  • Work closely with school nurses
  • work closely with Special Education Department and Safety Director
  • Respond to inquiries on the telephone or in person.
  • Collect data and information for State/County reports.
  • Perform other tasks as assigned by supervisor(s).

High School diploma or equivalent, pursuant to WV Code §18A-2-5; Criminal
background check conducted pursuant to WV Code §18-5-15c; Meet the definition of
"Qualifications" in WV Code §18A-4-8b; demonstrated competency, pursuant to
WV Code §18A-4-8e (state-approved competency test) as required.

"'Secretary III' Personnel assigned to the county board of education office administrators in charge of various instructional, maintenance, transportation, food services, operations and health departments, federal programs or departments with particular responsibilities of purchasing and financial control or any personnel who have served in a position which meets the definition of Secretary II or Secretary III for 8 years. (Pursuant to WV Code §18A-4-8).

abilities required by this job include close vision such as to read handwritten or typed
material and the ability to adjust focus. The position requires the individual to meet
multiple demands from several people and interact with the public and other staff.
