This position is within the Property Management division. The Facility Engineer/Operations Manager will assist the Property Manager in the overall operation and maintenance of the property, and will be responsible for planning, overseeing, and leading projects. General responsibilities include the planning, organization, direction, and control of the operational activities of the property to meet tenant and client needs.

Essential Job Functions

This is a hybrid position requiring a combination of first‑hand technical knowledge and administrative, people, and customer service skills.

Provides hands‑on diagnosis of building systems and infrastructure including HVAC, plumbing, electrical, life safety, and fire protection/suppression.

Manages several moving project parts of a project simultaneously.

Ensures projects are on time, on budget, and within scope.

Understands delivery, usage, and measurement of utilities and possesses skills to track and reduce consumption of utilities; manages tenant utility billings, utilizing appropriate calculation methods.

Maintains appropriate standards of physical maintenance and facilities operations.

Supervises contractors for all site and building needs, including responding to emergencies, even when after‑hours. Drafts best‑practice scopes, collects and reviews bids, prepares maintenance contracts for all site and building systems, manages those contracts while overseeing and reviewing work, and approves invoices via an online software system.

Communicates with tenants regarding operational needs, including troubleshooting, comparing requests to lease language, and facilitating property maintenance when the tenant is affected.

Oversees and manages the online work order system to ensure preventative maintenance and day‑to‑day work orders are completed within lease requirements, and best practices in a timely manner.

Troubleshoots/value‑engineers complex maintenance problems, develops creative solutions, and performs complex maintenance duties, as necessary, to find the most cost‑effective and efficient solution.

Interfaces with contractors and vendors; creates written specifications and secures bids for services in accordance with the established bid process.

Researches and evaluates new maintenance products and procedures.

Solicits bids and negotiates with vendors for goods and services; holds vendors accountable for quality of work, billing accuracy, and adherence to property policies and procedures for all projects.

Establishes schedules for repairs and preventive maintenance and ensures they are completed.

Prepares and makes recommendations for the annual maintenance budget; implements the approved budget on a day‑to‑day basis and is accountable for operating the property within budget guidelines.

Develops and enforces operational protocol to ensure energy‑efficient facility operation; works with utility providers to discuss efficiency projects and rebate opportunities.

Assists the Property Manager with developing fiscally responsible operational and maintenance policies, procedures, and plans.

Maintains and manages property library files, building drawing files, as‑builds, panel schedules, annual deliverables, contacts, and vendors.

Utilizes engineering, technical, and property knowledge to assist tenants with current work and fit‑up needs.

Creates exhibits and assists leasing with necessary information, including square footage and building data; strategizes on layouts and locations.

Manages site security, including contacting authorities when necessary; assists in creating badges and maintaining the badging system; manages keys; verifies buildings are secure and provides new solutions to maintain high level of security.

Skills / Qualifications

High school or Bachelor’s degree or equivalent experience.

Minimum 3‑5 years of experience in the facility or property management field.

Strong ability to multi‑task and work with deadlines under pressure.

Excellent communication and organizational skills.

Knowledge of Microsoft Outlook, Word, Excel, PowerPoint, and/or CAD is very beneficial.

Physical demands: ability to lift 50 pounds.

Driver’s license and reliable transportation to travel between sites.
