As a
Marketing Business Operations Specialist , you'll serve as the right hand to a senior marketing leader, helping drive operational excellence, financial accountability, and team cohesion across a fast-paced, global marketing organization. You'll work closely with cross-functional stakeholders across 11+ time zones, including VP-level leaders, and play a key role in keeping marketing budgets, processes, and programs running smoothly.

What You'll Do
Budget Management & Financial Operations
Serve as the operational lead for budget tracking, forecasting, and planning across the global marketing team.
Support the FY26 marketing budget planning process, including compiling inputs, running analyses, and reallocating underspend to priority areas.
Accurately manage large-scale budget movements, using tools like Google Sheets and UpTempo (preferred).
Liaise with finance partners, ensure precise execution, and help deliver insights to VP-level stakeholders.
Own travel and expense (T&E) budget tracking, ensuring alignment with team goals.
Rhythm of the Business (ROB)
Manage the weekly team update process, drive agendas, and track key action items.
Support team meetings, quarterly town halls, and cross-functional checkpoints.
Improve how the global team interacts and communicates during critical planning and execution moments.
Project & Program Management
Lead or support high-priority global marketing programs, from local activations to quarterly initiatives.
Help streamline execution by identifying blockers, solving problems, and driving cross-functional alignment.
Balance recurring responsibilities with ad hoc requests, such as retrospective budget reviews or executive analysis needs.
Process Optimization
Evaluate existing processes across the team and implement improvements to drive efficiency and scalability.
Help the team "get into a groove" by improving quarterly workflows and documentation.
Be a driver for automation and operational innovation, especially using AI tools where appropriate.
What You Bring
Experience:
5+ years in business operations, marketing operations, or project/program management in a fast-paced, matrixed, or global organization.
Direct experience managing or partnering closely with marketing and finance teams, including comfort handling large budgets.
Experience supporting or interacting with VP-level stakeholders or senior leaders is essential.
Skills & Attributes:
Strong attention to detail -your work informs senior decision-making and needs to be accurate and dependable.
Excellent time management, able to juggle competing priorities and communicate bandwidth or blockers early.
Professional maturity and strong cross-cultural communication skills. Experience working with globally distributed teams is a plus.
A self-starter who can take a partially defined task, run with it, improve it, and drive it to completion with minimal oversight.
A flexible, thick-skinned problem solver who embraces change and stays calm under pressure.
Tools Proficiency:
Advanced skills in Google Sheets/Excel, including formulas, pivot tables, year-over-year calculations, etc.
Experience with UpTempo, Asana, JIRA, or Workday is a plus (not required).
Interest or fluency in AI tools and a mindset toward automation and continuous improvement is highly desirable.
