Job Overview
Litigation Legal Administrative Assistant – Tampa, FL 33602. Permanent full‑time position with on‑site work. Salary $65,000‑$80,000 annually plus comprehensive benefits.
Referral fee: AMS will pay $500 if a referred candidate is hired.
Responsibilities
Strong verbal and written communication skills; serve as part of a client‑focused team guiding clients through legal matters.
Perform a variety of clerical and administrative duties, supporting attorneys in litigation practice.
Prepare, process, and proofread legal documents; mail, fax, copy, and arrange delivery of documents to clients, witnesses, opposing counsel, and court officials.
Maintain and organize court pleadings, discovery documents, emails, correspondence, and hard copies in electronic databases for easy retrieval, using moderate independent judgment.
Coordinate and participate in document production.
Obtain background information and reports on parties and witnesses via Westlaw and Lexis systems.
Communicate with clients, court personnel, experts, attorneys, and others via telephone, email, in person, and in writing.
Assist with trial, deposition, and hearing preparation, including preparation of attorney notebooks, exhibits, and related duties.
Maintain supervisor’s calendar electronically, scheduling appointments, hearings, depositions, and docketing critical dates such as court‑ordered pre‑trial and discovery deadlines.
Open and close files; electronically maintain client and business files by filing and retrieving materials as required.
Screen phone calls, record and deliver messages, and provide callers with information as authorized by attorney.
Make travel arrangements through the firm’s designated travel agency.
Finalize billing invoices reviewed and approved by supervising attorneys for client payment.
Perform related duties as assigned.
Minimum Acceptable Qualifications
5+ years of legal secretarial experience in a related area of law.
Typing speed of 65 WPM with excellent spelling, punctuation, and grammar; knowledge of legal terminology.
Competent in computers and Microsoft Office (Word, Excel, PowerPoint) and Outlook.
Excellent organizational and interpersonal skills.
Strong written and oral communication abilities.
Knowledge of real‑estate closing procedures and terminology is a plus.
College degree preferred.
Desired/Additional Qualifications
Paralegal skills.
Additional college degree, if any.
