Position Summary This role serves as the Executive Assistant to the Chair of Epidemiology, providing high‑level administrative support and coordinating complex tasks for the Chair’s office and leadership team. The incumbent manages daily office functions, communicates with faculty and stakeholders, leads projects and task forces, and contributes to strategic initiatives including research programs and departmental initiatives.

Minimum Education and Experience Requirements

High school diploma or equivalency with three years of progressively responsible administrative/office management experience;

Associate’s degree in secretarial science, business administration, or a related discipline with one year of progressively responsible administrative/office management experience; or

Bachelor’s degree, preferably in business administration or a related discipline, or an equivalent combination of training and experience. All degrees must be from accredited institutions.

Ability to develop and present independent recommendations to senior administrators in a respectful and knowledgeable manner.

Ability to communicate information of moderate complexity and impact to targeted audiences.

Demonstrated methodical and logical approach to addressing customer and supervisor needs.

Proficiency in assimilating and communicating information that requires greater understanding and has greater organizational impact.

Research, analytical, and data presentation skills that communicate findings clearly and concisely to stakeholders.

Constructive communication skills with desired sensitivity and urgency.

Capability to assess impacts of internal/external communications efforts and adjust strategies accordingly.

Coaching ability for senior administrators or leaders in effective message delivery, with audience impact assessment.

Creation of recommendations for improvement to policies, procedures, and sensitive situations.

Expertise in relevant office, graphic, and web design software and communication techniques, leveraging stakeholder knowledge to maximize awareness of departmental activities.

Project management skills for complex and specialized projects.

Effective relationship building with multiple stakeholders to initiate, develop, facilitate, and complete work.

Alignment of goals with broader organizational objectives and budgetary resources.

Confidentiality handling and discretion regarding sensitive information.

Understanding of the department’s mission, objectives, and goals.

Excellent interpersonal and written communication skills.

Attention to detail and strong organizational skills.
