Description SIERRA MADRE POLICE DEPARTMENT Under general supervision, the Police Records Clerk performs moderately difficult clerical work of the Police Department; works assigned, variable shifts; and performs related duties as assigned. JOB POST WILL REMAIN OPEN UNTIL THE DESIRED AMOUNT OF APPLICATIONS ARE RECEIVED OR THE POSITION IS FILLED.
CLASSIFICATION CHARACTERISTICS Positions in this class are assigned to the Records Bureau or to perform staff clerical support work to the Chief of Police or Police Administrative Staff. Individuals in this classification assigned to the Records Bureau will be required, as assigned, to work variable shifts including nights, weekends and holidays, however the primary shift requires working dayshift Monday through Friday. Police Records Clerks are subject to being held over or called back to work additional hours depending on the staffing needs of the department. Positions in this class generally do not exercise formal supervision; however they may provide functional supervision to volunteers, student workers, or police department employees. Examples of Duties
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
Typing, filing, transcribing police reports from taped dictation; Processes, indexes, maintains, retrieves and distributes records and reports of all documented police incidents occurring within the City; processes subpoenas, warrants, and various types of citations; compiles crime statistics and information; Operates state and national law enforcement computer systems; inputs, checks and updates data in the Records Management System; Responds to requests for information and assistance to citizens at the public counter; explains and interprets law enforcement regulations, policies and procedures; obtains information at the public counter and writes routine reports of police incidents; Processes and transmit complaints for court appearances; accepts payment of fees and prepares checks for bail monies; types search warrants, acts as the court liaison officer and subpoena control clerk; Process invoices for payment; arranges and schedules meetings and appointments; may process payroll records for the Department; orders supplies; maintains office files; acts as receptionist for the bureau to which assigned; screens callers for staff; Female clerks may act as a Matron and searches female prisoners when required; and Must be able to pass a stringent Department of Justice Background process; and Performs other duties as required

Modern office methods, practices and procedures, including business correspondence, typing, transaction, filing and telephone answering techniques; Correct grammar, punctuation and spelling; Modern office equipment such as computers, word processing, dictation transcription, typewriters, etc. Proper customer service techniques
Ability to:
Deal with the public under stressful circumstances in a fair, calm and understanding way to obtain positive results. Continually promote, in actions, words and writing, the highest customer service standards. Operate communication equipment (multi-button telephones, base radio, computer terminals, and teletype equipment) quickly and accurately. Speak with a clear, well-modulated voice in English by phone and radio dispatching equipment while tactfully communicating with highly emotional callers. Operate computer-aided dispatch equipment. Comprehend and make inferences from material written in the English language and learns job-related material primarily through oral instruction, observation, and structured lecture. Operate a variety of standard office equipment. Enter data or information into a terminal, PC, or other keyboard device. Remain in a sitting position for extended periods of time. Work cooperatively with citizens, co-workers, sworn personnel, and other City and agency employees. Learn geographic areas including operating districts and their associated Police problems. Remain calm and exercise judgment in making decisions in emergency situations under heavy workloads. Determine priorities of emergencies. Work safely without presenting a direct threat to self or others. Work a variety of shifts, including nights, weekends, and holidays. Report for duty on time. Complete assignments by due dates.
Education/Training/Experience
Any combination of training and/or experience that provides the required knowledge, skills, and abilities is qualifying. A typical way to obtain the knowledge, skills and abilities would be: receiving a high school diploma or GED
(required) , supplemented by coursework in business, records management, or accounting and one year of office clerical work. Experience in a Police Department is preferred. A Typing Certificate received in the last 12 months is required.
