Position Summary

Provides administrative assistance and performs a number of technical and analytical tasks using initiative in support of the Dean of Instruction for Career and Technical Sciences. Serves as a primary resource point for faculty, staff and students, answering policy, procedural, informational or technical inquiries, requiring a thorough knowledge of college programs, department functions and organizational structure, as well as the use of independent judgment and discretion in the release of confidential or sensitive information. Provides liaison between the dean and students, staff and the community. Facilitates the operation of the Dean’s office so that the students are well served and policies and procedures are administered fairly, diplomatically, and professionally. Performs duties and responsibilities in accordance with college policies and procedures. Performs other duties as assigned.

Essential Functions

  • Provides administrative support for the Dean of Instruction – Career and Technical Sciences requiring initiative, independent judgment/discretion, confidentiality, and decision‑making based on broad general guidelines.
  • Assists the Dean of Instruction for the Career and Technical Sciences Division with administrative duties as assigned.
  • Works closely with the three Associate Deans located in Columbus, Grand Island, and Hastings to collect documents and information for the division.
  • Composes, edits, and proofreads internal and external correspondence, reports, and college forms with a high level of accuracy.
  • Assists all individuals requesting to see the Dean, answers phone calls, delivers messages, and schedules appointments in a timely manner while maintaining a professional approach and appearance, maintaining confidentiality with division/college issues.
  • Coordinates travel logistics for the Dean and occasionally other personnel including registrations, hotel, airline and/or college car reservations, and travel reimbursement forms.
  • Coordinates logistics for meetings and other college activities such as monthly Career and Technical Sciences, Associate Deans Meetings, Division Faculty Meetings, and other meetings per the Dean’s request. Reserves rooms, schedules IP or Web‑Ex, coordinates audio/visual needs, food service, and travel as needed. Takes notes and posts to appropriate SharePoint site.
  • Creates and/or maintains spreadsheets for various projects on a wide range of topics.
  • Scans and/or photocopies necessary paperwork and stores paper or electronic copies for easy access when needed again.
  • Assists the Dean with additional requests as they arise.
  • Assists the Dean, as needed, with budget entry in college software and tracks expenditures for the division.
  • Assists the Dean in tracking credentialing for full‑time and adjunct faculty across the division including high school career pathway instructors.
  • Collects Advisory Committee Meeting Minutes, Faculty Schedules, Textbook Changes, and other divisional documents throughout the year from area‑wide personnel and posts them to the Division’s Information Site in a timely manner. Collects and posts other necessary documents to other SharePoint designated sites as directed.
  • Works closely with catalog staff to enter and track approvals for CTS updates to the college catalog through college software. Collects essential information and paperwork from the division for program and course approval/changes. Tracks the requested changes by monitoring the monthly Educational Services Meeting and ensures that the changes are entered into college software.
  • Collects college forms for the Dean’s approval/review such as enrollment exceptions, exception/overrides, grade changes, and credit by examination/prior learning forms for signature and forwards them to the proper department for processing. Reviews and proofs these documents/forms for accuracy, completeness and conformance to applicable policies and procedures.
