Description We are looking for a detail-oriented Administrative Assistant to join our team in West Park, Florida. In this Contract-to-Permanent position, you will play a crucial role in ensuring the smooth operation of administrative tasks within a fast-paced construction environment. The ideal candidate will have excellent organizational skills, a proactive approach, and the ability to manage multiple responsibilities effectively. Responsibilities:
- Provide comprehensive administrative support to ensure efficient office operations.
- Manage and respond to inbound calls while maintaining a courteous demeanor and attention to detail.
- Perform accurate data entry and maintain records for various administrative and operational tasks.
- Assist with processing purchase orders and ensuring proper documentation.
- Support property management activities, including coordinating with vendors and contractors.
- Collaborate on subcontractor proposals and ensure timely submission of required documents.
- Prepare and manage AIA documents and related construction project paperwork.
- Maintain organized filing systems for easy retrieval and tracking of records.
- Communicate effectively with internal teams and external stakeholders to address inquiries and coordinate activities.
- Minimum of 1 to 2 years of experience in a construction/general contractor office,
- Strong proficiency in administrative tasks, including data entry and office management.
- Excellent communication and interpersonal skills, both written and verbal.
- Familiarity with handling purchase orders and subcontractor proposals.
- Experience with property management and construction-related administrative tasks is a plus.
- Knowledge of AIA documents and their preparation is required.
- Ability to prioritize tasks, manage time effectively, and meet deadlines.
- Proficiency in using office software such as Microsoft Office Suite, specifically Excel, or equivalent.
