About the Position
The Croton‑Harmon School District has anticipated openings for Secretary to School Principal in Middle and High Schools. This is a competitive Civil Service position. Candidates must pass the Civil Service exam for Secretary to School Principal and must be reachable and/or currently hold this title. A provisional appointment requires passing the exam and ranking among the top three scores to remain in position, then moving to probationary status.
Distinguishing Features of the Class
- Under general supervision, performs executive secretarial services for a principal, relieving them of administrative details.
- Does not require stenographic skill.
- Requires full range of computer skills to compile and produce correspondence, records, reports, and files.
- Uses independent judgement applying prescribed methods and procedures where policies are established.
- Regular contact with the public and fellow employees.
- May supervise lower‑level clerical workers.
Examples of Work
- Performs executive secretarial functions for the principal.
- Relieves principal of administrative details using discretion, tact, and knowledge of district/office policies and procedures.
- Uses automated systems equipment to produce correspondence, reports, contracts, specifications and other data.
- Uses computer applications such as spreadsheets, word processing, calendar, e‑mail and database software in performing work assignments.
- Maintains calendar of appointments for the principal, ensuring prompt updates of appointments and changing matters.
- Takes and prepares minutes of meetings or hearings in final document format.
- Answers telephone calls, responds to requested information and/or refers inquiries to the appropriate party.
- Arranges appointments and meetings and prepares materials for them.
- Compiles a variety of data to be used as a basis for reports and prepares reports or statements.
- Maintains files for the principal, ensuring material is properly marked and accessible for immediate use.
- Performs responsible clerical work in maintaining complex and confidential records and files, both manually and via computers.
- Opens, sorts, screens incoming mail and routes remainder to the appropriate party.
- May assign and check the work of other clerical employees.
- Uses other software applications such as spreadsheets, calendar, e‑mail and database software in performing work assignments.
Required Knowledge, Skills, Abilities and Attributes
- Thorough knowledge of executive secretary responsibilities.
- Knowledge of general business terminology, procedures and equipment.
- Business English, spelling and arithmetic.
- Computer systems capability to produce various formats/documents such as correspondence, reports, tables, charts and file storage/retrieval.
- Keyboard proficiency: at least 35 words per minute.
- Proficiency in computer applications such as spreadsheets, word processing, calendar, e‑mail and database software.
- Ability to understand and carry out complex oral and written directions.
- Ability to compose and edit routine letters and memoranda.
- Ability to handle administrative details independently.
- Effective interpersonal skills.
- English reading, writing, understanding and communication sufficient to perform essential functions.
- Ability to compile data and prepare reports.
- Ability to develop and maintain good working relationships with others.
- Clerical aptitude; accuracy; resourcefulness; initiative.
- Physical condition commensurate with the duties of the position.
Minimum Acceptable Training and Experience
- High school graduation or high school equivalency diploma.
- (a) Five (5) years of secretarial experience supporting higher‑level administrators or department/unit heads, with at least three (3) years involving computer applications to maintain records and produce correspondence.
- (b) Post‑high‑school secretarial or business school degree/certificate in secretarial sciences, office technology or closely related field with three (3) years of specialized computer‑application experience.
- 30 college credits may be substituted on a year‑for‑year basis for up to four (4) years of the specialized secretarial experience described above.
- At least one (1) year of the specialized computer‑application experience.
Special Notes
- A certificate program is defined as completion of a minimum of six to eight courses resulting in a certificate.
- Education beyond secondary level must be from an institution recognized or accredited by the Board of Regents of the New York State Department of Education as a post‑secondary, degree‑granting institution.
- Applicants must obtain State Education Department clearance (fingerprint and criminal history) prior to employment under the SAFE Schools legislation.
