Overview

Senior Program Coordinator, Chief of Staff role at WMATA. The Senior Program Coordinator supports the Executive Office and Chief of Staff in managing, coordinating, and tracking cross-functional initiatives that advance WMATA’s strategic goals, executive priorities, and governance responsibilities. This individual will act as a key liaison between the Executive Office and internal departments, external partners, and stakeholders, ensuring timely execution of initiatives, high-quality communication, and seamless operational alignment across the organization. The ideal candidate will have strong leadership skills, exceptional communication abilities, and a proven track record of managing complex initiatives across multiple stakeholders.

Responsibilities

Coordinates and implements best practices for the enterprise asset management program implementation, including conducting research and drafting processes and reports. Assists in the drafting of policies and the creation and maintenance of comprehensive departmental/interdepartmental documentation. Responds promptly and effectively to requests for research and information; communicates with departmental staff to gather answers to inquiries as necessary. Assists in defining project scopes and objectives by involving all relevant stakeholders and ensuring technical feasibility. Conducts complex cost, budgetary, statistical analysis and develops forecasts, prepares cost-benefit analyses, and tracks operational and capital budgets. Develops and maintains dashboards, visualizations and graphics to supply audiences with understandable information. Maintains and monitors project plans and project schedules. Organizes, attends and participates in stakeholder meetings. Documents and follows up on important actions and decisions from meetings. Establishes and maintains tracking reports in support of business initiatives, such as trainings, capital program reporting, and communication campaigns related to capital planning and program management. Works directly with transit and business asset owners across the Authority to perform data analytics, establish monthly compliance reports and risk/issue updates, including mitigation actions and resolution plans. Supervises and/or guides subordinate or contract staff. Interacts effectively with senior leadership to articulate issues and propose potential solutions. Supports program management processes of integration, scope, schedule, budget, quality, resources, communication, risk, and procurement. Assists with project initiation, estimation, planning, requirements gathering, analysis and design, technical reviews, integration, implementation, operational turnover, and project closing. Tracks and escalates action items, monitors project delivery and client satisfaction, and communicates with all appropriate levels of management including directors, general managers, managers, subject matter experts, and clients. Provides data collection, analysis of data, presentations and reporting, database administration, project assessment, and creation and maintenance of templates, forms, and processes.

Qualifications

Education

The position requires a Bachelor degree in Transportation, Management, Business or Public Administration or a related field. In lieu of a bachelor degree, a High School Diploma or GED with four (4) years of experience effectively leading and managing a division or department doing related work. Experience

Minimum of seven (7) years of experience in project management and/or asset management lifecycle planning, plus progressively analyzing and coordinating business improvement projects in a large-scale organization. Experience at developing interactive and dynamic presentations. Certification/Licensure

Microsoft Project, Primavera, Clarity, Power BI, and SharePoint. Project Management Professional (PMP). Other Information
