Overview
We are looking for a highly adaptable and resourceful operator to provide support to the executive team. This role combines administrative responsibilities with higher-value projects that require initiative, problem-solving, and judgment. You will serve as a utility player, toggling between supporting leadership with core operations and owning projects that do not fit neatly within any single function. Key Responsibilities
Serve as the central point of coordination for executive operations, maintaining project timelines, updating task and calendar systems, recording key action items, and ensuring leadership and teams remain aligned and accountable. Assist with document management by tracking deadlines, maintaining version control, obtaining signatures, and ensuring all files are properly organized and stored. Prepare and coordinate presentations, reports, and meeting materials. Assist with expense reporting, invoice processing, and vendor setup. Operations & Administration
Track and manage license and lease renewals, vendor contracts, and other office-critical deadlines. Support Head of Operations on the smooth day-to-day operations across retail stores, cultivation facilities, and corporate functions. Serve as primary contact for vendors and facilities management needs. Oversee document management, including scanning incoming mail, routing it appropriately, managing outgoing mail, and maintaining organized digital and physical filing systems (e.g., contracts, permits, compliance records). Project Management and Research
Prepare applications and supporting materials for licensing or compliance processes. Take ownership of cross-functional projects by managing timelines, deliverables, and stakeholder communications. Monitor progress and ensure accountability on key executive team initiatives and keep priorities on track. Identify operational gaps and step in to solve problems, such as coordinating permits, following up with regulators, or troubleshooting vendor issues. Support planning and coordination for new product or business line launches. Conduct research to support leadership decision-making, including zoning issues or regulatory frameworks, competitive intelligence, and conference prospecting. Staff & Meeting Logistics
Plan and execute logistics for staff meetings, retreats, and leadership offsites. Coordinate interviews and candidate scheduling across multiple sites. Manage day-to-day operational tasks, from ordering supplies to resolving office needs. Qualifications
3–5 years of combined experience in operations, administration, project management, or executive support. Experience supporting C-level executives a plus Experience in a startup or high-growth environment is preferred. Strong organizational skills with meticulous attention to detail. Excellent written and verbal communication skills; able to communicate effectively across all levels of the organization. Flexible and resourceful; comfortable balancing strategic coordination with tactical execution. Proficiency in Google Workspace, and project management tools (e.g., Asana, Trello, or similar).
