Overview

The Project Accounting Coordinator supports the accounting and project management teams by maintaining accurate job cost data, processing project-related financial transactions, and ensuring compliance with TxDOT and company accounting standards. This role serves as a key link between field operations, project managers, and accounting to maintain accurate reporting and financial integrity across multiple road and infrastructure projects. Pay

Daily Transactional Support Enter and code vendor invoices, purchase orders, and employee expenses to the correct project/job codes. Collect, review, and post timecards for field and project staff. Maintain daily cost entries in the ERP/accounting system for materials, rentals, subcontractor charges, and equipment usage. Ensure accurate AP/AR postings associated with TxDOT contracts, change orders, and work authorizations. Job Costing & Project Tracking Reconcile job cost reports against actual and committed costs to ensure data accuracy. Monitor project budgets versus actual expenditures and flag cost variances for management review. Prepare and maintain billing packets, pay applications, and backup documentation for TxDOT projects. Maintain organized project files including contracts, invoices, change orders, and TxDOT-related documentation. Generate weekly and monthly job cost reports for Project Managers, Job Cost Accountant, and Controller. Provide supporting data for Work-in-Progress (WIP) reports and revenue recognition activities. Assist in project closeout reconciliations and final billings. Cross-Department Coordination Collaborate with accounting, operations, and project teams to resolve cost coding, invoice, and documentation issues. Support field personnel with questions on expense coding, rental logs, fuel charges, and TxDOT compliance paperwork. Ensure all financial project documentation meets audit and compliance standards. Process & Compliance Maintain adherence to TxDOT contract requirements, company accounting policies, and internal controls. Provide documentation and data for internal, external, and TxDOT audits. Recommend and assist with process improvements to enhance workflow efficiency in project cost tracking, billing, and reporting. Qualifications

Education:

Associate’s or Bachelor’s degree in Accounting, Finance, or Business Administration preferred. Experience:

2+ years of experience in project accounting, construction accounting, or related field; TxDOT project experience strongly preferred. Skills: Proficiency with ERP/accounting software (e.g., Viewpoint, CMiC, Sage, or similar). Strong Excel and data reconciliation skills. Knowledge of TxDOT billing requirements and documentation standards. Excellent attention to detail, organization, and communication abilities. Seniority level
