Overview
The Executive Assistant at Colville Fuels LLC provides comprehensive administrative support to the Chief Executive Officer (CEO), Executive Leadership Team (ELT), and the Board of Directors (BOD) to ensure efficient operations and effective communication. This position requires advanced organization, meticulous attention to detail, sound judgment, and a strong understanding of both business processes and the cultural values of the Colville Confederated Tribes. The Executive Assistant serves as the primary point of contact and liaison among executives, store managers, board members, and internal/external stakeholders. Essential Functions
CEO and ELT Support: Manage complex calendars, coordinate meetings, and schedule travel for the CEO and other ELT members. Serve as the primary point of contact and liaison between the ELT, store managers, and other stakeholders. Draft, review, and prepare correspondence, presentations, reports, and briefing materials. Coordinate ELT and manager meetings, including agenda preparation, logistics, and follow-up on action items. Assist with special projects and strategic initiatives as assigned. Maintain a high level of confidentiality and exercise sound judgment in all interactions. BOD Support: Coordinate logistics for board meetings, including scheduling, invitations, materials preparation, and technology setup. Draft, review, and distribute meeting agendas and compile and distribute supporting documentation in collaboration with the CEO and Board Chair. Attend board meetings, accurately document minutes, and ensure their timely distribution. Maintain official records of board meetings and other governance documentation (e.g., resolutions, contracts). Track board action items and facilitate timely follow-up. Support board orientation, development, and compliance activities. Ensure adherence to governance policies, bylaws, and regulatory requirements. Additional Administrative And Project Support: Maintain and organize confidential company files and records, ensuring data integrity and ease of access. Organize company events and community engagement activities that reflect Colville Fuels’ values. Assist in planning and executing corporate and community projects; provide project tracking and status updates. Cultural And Community Engagement: Support initiatives that promote cultural values and tribal engagement. Assist in coordinating activities that strengthen relationships with the Colville Tribes. Other duties as assigned. Knowledge, Skills & Abilities: Advanced ability to manage complex calendars and logistics for multiple executives. Strong proficiency in Microsoft Office Suite and relevant collaboration tools. Superior communication skills and ability to draft high-quality documents. Excellent organizational and multitasking skills; ability to manage sensitive, confidential information. Ability to build and maintain professional relationships and serve as an effective liaison. Sound judgment, attention to detail, and a proactive approach to supporting leaders. Strong understanding of tribal values and cultural sensitivity. Minimum Qualifications: Bachelor’s degree in a business, communications, or closely related field, AND one (1) year of experience providing executive-level administrative support, preferably in a multi-entity corporate environment; OR, Associate’s degree in a business, communications, or closely related field, AND three (3) years of experience providing executive-level administrative support, preferably in a multi-entity corporate environment. Prior experience supporting a chief executive or administrator is highly desirable. Prior experience supporting a board of directors or serving as recording secretary is highly desirable. Proficiency in Microsoft Office Suite, virtual meeting platforms, and board management software (e.g., Diligent, BoardEffect). Exceptional written and verbal communication skills, with strong attention to detail. Demonstrated ability to manage multiple priorities and projects in a fast-paced environment. High level of discretion, professionalism, and integrity. Must successfully clear extensive criminal history, financial, employment, and reference checks for suitability. Must possess and maintain a valid Washington State driver’s license and be eligible for the company’s vehicle insurance coverage. Preferred Qualifications: Experience working within a tribal or community-oriented organization. Advanced skills with collaboration, meeting, and project management tools. Demonstrated ability to handle confidential information with professionalism. Physical Demands / Work Environment: Most work is performed in a professional office setting and is sedentary, requiring routine walking, standing, bending, and carrying items weighing less than 40 pounds. Willingness and ability to frequently travel to various store locations as needed. Willingness and ability to attend in-state and out-of-state trainings.
