The Dispatcher/Logistics Associate will play a critical role in ensuring the efficient and timely delivery and pickup of rental equipment for events. This position is responsible for coordinating daily delivery schedules, dispatching drivers, monitoring logistics operations, and communicating with both internal teams and clients to ensure smooth event execution. PTO/Personal-Sick Time Key Responsibilities: Schedule and coordinate event equipment deliveries and pickups, ensuring the timely execution of all orders. Keep a log of delivery and setup times to ensure all records are accurate and up-to-date. Dispatch the appropriate delivery/pickup crew based on skill sets and expertise for each route. Coordinate with the Warehouse Supervisor on truck sizes needed for deliveries and pickups. Advise the Director of Operations on the utilization of delivery/pickup crews. Assist the Dispatch Supervisor with daily routines, including routing, courier services, scheduling, and managing the delivery team. Ensure drivers are provided with detailed routes and any specific instructions requested by customers or the sales team. Monitor and stay in contact with drivers throughout their shifts, ensuring efficient operations. Call clients to inform them of delivery/pick-up times, delays, and any changes. Receive communication from the Sales team to execute orders, handle equipment transfers, manage purchases, address missing items, coordinate redeliveries, and resolve emergencies as needed. Coordinate closely with sales staff on priorities, ensuring the most urgent deliveries are addressed first. Assist with the scheduling of freight pickups and deliveries. Communicate with the truck vendor on mechanical issues or service needs. Report any issues with deliveries, pickups, or employees to management and the appropriate corrective departments. Maintain accurate records of the fleet log, both incoming and outgoing. Complete daily truck inspections and ensure that all trucks are in safe, working condition. Receive new trucks and ensure that they meet company standards. Monitor the fleet using GPS, cameras, and routing systems, ensuring that drivers are following the correct routes and schedules. : Provide ongoing support and monitoring of the delivery crews performance on the road. Train new staff, including Dispatch Associates, Drivers, and Drivers Assistants. Ensure that the delivery crew adheres to company dress codes and safety attire policies. Assist with monitoring crew members performance, providing feedback, and making improvements where necessary. Adhere to all company policies, procedures, rules, and regulations in both written and verbal forms. Ensure compliance with government safety requirements and ensure all safety regulations are being followed on-site and in the field. Participate in department, driver, and safety meetings as requested. Conduct department meetings or safety training sessions when required. Represent the logistics department at management meetings as needed. Handle emergency and non-emergency calls, providing quick, effective responses to issues related to logistics. Report any delivery or pickup issues to management and work on corrective actions. Call clients to inform them of any potential delays and take necessary actions to remedy issues quickly. Perform other tasks assigned to ensure the smooth operation of the logistics department. Must be willing to work a rotating Saturday shift and be available on-call for designated assignments. Prepare daily delivery and pickup schedules and ensure all tasks are assigned appropriately. Fill in for other positions when necessary to ensure business operations continue seamlessly. Required Skills & Qualifications: High school diploma Previous experience in logistics, dispatch, or customer service. Strong communication skills (both verbal and written). Excellent organizational and time management skills. Proficiency with logistics software and Microsoft Office Excel. Ability to multitask and prioritize in a fast-paced environment. Knowledge of geographical routes and distribution networks. Problem-solving skills and attention to detail.
