Position Summary
We are looking for an Executive Assistant to support approximately 4 members of the executive team in a fast-paced, growing organization. In collaboration with a team of Executive Assistants, this person will handle confidential information and maintain professionalism when dealing with senior executives and external customers, partners, and shareholders.
This Hybrid role is based in our Naperville, IL office. The office environment is a core part of our culture, with a regular in-office hybrid model (generally Tue–Thu in office). Mon and Fri may occasionally be required for business purposes.
Responsibilities
- Manage Business Development conference and tradeshow registration and logistics.
- Logistics liaison for the OHS Advisory Board.
- Manage complex calendars, plan and organize events for the executive team and external partners.
- Coordinate travel arrangements, including hotel bookings, transportation, and meals.
- Prepare travel and expense reports, reconcile corporate cards, and follow through on reports.
- Build a positive team environment and collaborate with other Executive Assistants to ensure a cohesive team, providing coverage as needed.
- Coordinate and manage projects and tasks, analyze data as needed, and create impactful PowerPoint presentations.
- Maintain confidentiality and professionalism when interfacing with the business and employees.
- Coordinate events and programs (team meetings, training classes, all-staff meetings, and on-site events) as needed.
- Greet visitors and provide professional customer service while assessing their support needs.
Experience And Qualifications
- Minimum 5 years (ideally 5–7) executive-level administrative support experience, including at least 2 years at the C-level.
- Exceptional written and verbal communication skills.
- Experience overseeing budgets and expenses; strong time-management and the ability to coordinate multiple projects with keen attention to detail.
- Proficiency in Microsoft Office and other office productivity tools; willingness to learn new software.
- Ability to maintain confidences and demonstrate discretion.

- Prior exposure to board preparation and support is a plus.
Technical Skills
- Proficiency in Microsoft and Google Suites.
Education
- Bachelor's Degree or equivalent work experience.
Compensation And Benefits
Base pay range: $62,000 - $125,000 USD annually. Specific pay depends on qualifications, experience, education, and skill set. Compensation may include an annual performance-based bonus, sales incentive plan, or commission target.
