The Role
As the Recruiting & Operations Coordinator, you’ll be a trusted partner to the District Manager of one of the top districts in the country. You’ll wear multiple hats — part recruiter, part administrator, part operations coordinator — ensuring our District runs at the highest level.
- Recruiting & Sourcing (≈50%) – Finding, engaging, and tracking candidates for agency owner and team member opportunities.
- Administrative Support (≈30%) – Managing schedules, coordinating events, and supporting day-to-day office operations.
- Operations & Payroll (≈20%) – Running payroll, organizing tax documentation, and keeping District finances organized.
This is a high-accountability role. You will be trusted with sensitive financial data, relied upon to maintain accuracy in our recruiting systems, and expected to represent District 46 with professionalism and excellence at all times.
Key Responsibilities
- Source and screen candidates through multiple channels; manage job postings.
- Maintain and update the Zoho Recruit pipeline with 100% accuracy.
- Coordinate interview schedules and candidate communications.
- Track recruiting metrics and prepare pipeline reports for leadership.
Administrative & Operations Support
- Manage the District Manager's calendar with precision and foresight.
- Plan and support district events, training sessions, and team meetings.
- Maintain organized systems for files, records, and documentation.
- Serve as the first point of contact for agency owners and team members.
Payroll & Financial Organization
- Process accurate semi-monthly payroll for district personnel.
- Organize receipts, expenses, and documentation for tax preparation.
- Maintain clean financial records and prepare operational reports.
- Ensure compliance with payroll procedures and deadlines.
Confidentiality & Professionalism
- Handle payroll, compensation, and recruiting information with discretion.
- Communicate with professionalism, clarity, and urgency.
What We’re Looking For
Required Qualifications
- 5–10 years of professional office experience (recruiting, HR, executive administration, payroll, or office management).
- Proven ability to manage multiple priorities independently.
- Strong organizational skills and extreme attention to detail.
- Excellent written and verbal communication skills.
- High level of trustworthiness and professionalism.
- Proficiency with Microsoft Office Suite; able to learn new systems quickly.
Preferred Qualifications
- Experience with payroll systems (Gusto, ADP, QuickBooks, or similar).
- Familiarity with CRM/ATS tools (Zoho Recruit a plus).
- Background in insurance, financial services, or entrepreneurial support.
- Salary: $52,000–$63,000 annually (commensurate with experience).
- Retirement: SIMPLE IRA with employer match.
- Performance Bonuses: Quarterly bonus opportunities ($500–$1,000).
