Overview
The Office Assistant will provide administrative and clerical support to ensure efficient office operations. The role involves greeting and assisting visitors, managing correspondence, maintaining records, and performing various office support tasks in accordance with established procedures. Pay Range: $14hr - $19hr.
Responsibilities

- Greet and assist members visiting the office in accordance with established procedures.
- File materials in accordance with a prescribed classification system.
- Answer telephone calls, provide routine information, and redirect calls as needed.
- Prepare standardized forms and documents following established procedures.
- Receive, open, date stamp, and distribute incoming mail, messages, and packages.
- Scan documents into the Captiva system and index them by category and type.
- Retrieve and distribute records from files or boxes such as correspondence or applications.
- Search and recover information from computer systems to respond to inquiries.
- Post information on logs, spreadsheets, and computer systems accurately.
- Operate and instruct others on standard office equipment (copy machines, fax machines, postage machines, computers, printers, etc.).
- Review forms, applications, and correspondence for accuracy and completeness.
- Provide scheduling and meeting information to appropriate individuals.
- Prepare and submit requisitions to maintain office supplies.
- Compile data for office and agency reports.
- Communicate internally via email and maintain interdepartmental coordination.
- Operate specialized office equipment requiring prior training.
- Perform computer functions such as creating letters, emails, spreadsheets, charts, and lists.
- Maintain and update daily activity logs to track work assignments and workflow.
- Manage office supply inventory and assist with ordering as needed.
- Assist in developing production schedules, quality controls, methods, and procedures.
- Coordinate breaks, lunches, and coverage schedules to ensure consistent workflow.
- Work collaboratively in a team-oriented environment.
- Perform other duties as assigned.
Requirements
- Ability to understand and apply laws, rules, and procedures relevant to assigned tasks.
- Strong grammar, punctuation, and spelling skills.
- Ability to follow written and oral instructions accurately.
- Detail-oriented with strong organizational and record-keeping skills.
- Proficient in Microsoft Word and Excel.
- Ability to maintain accurate and organized records.
- Effective verbal communication skills.
- Strong interpersonal skills with the ability to establish positive working relationships.
- Ability to work efficiently in a fast-paced, front-facing environment.
- Knowledge of clerical office practices, record keeping, correspondence control, and office equipment use.
- Ability to exercise sound judgment and handle confidential information appropriately.
- Skill in operating office equipment (photocopiers, postage meters, shredders, calculators, etc.).
- Ability to lift a minimum of 35 pounds.
Experience
- Minimum of three years of full-time office experience or an equivalent combination of education and experience.
Qualification and Education
- A high school diploma or equivalent required.
- A diploma in a commercial or business course may substitute for up to one year of required experience.
- A diploma from a one-year full-time business or secretarial program may substitute for up to one year of experience.
- A diploma from a two-year full-time business or secretarial program may substitute for up to two years of experience.
