Job Description

  • Under general supervision, the Executive Administrative Assistant is responsible for performing professional administrative work of routine to moderate complexity to relieve an executive of administrative and operational duties.
  • This role serves as a liaison between the executive, other state departments, agencies, legislators, and community organizations, while managing correspondence, staff supervision, and operational support.

Key Responsibilities

  • Perform general assignments to relieve an executive of administrative detail and routine operational tasks.
  • Act as a liaison between the executive’s office and the governor’s office, departmental staff, other state, local, and federal agencies, and community organizations.
  • Attend legislative functions, meetings, receptions, luncheons, and other gatherings to gather information and represent the executive’s office.
  • Handle complaints and requests from legislators, departments, citizens, and employees as needed.
  • Assign, train, supervise, and evaluate clerical and support staff; make recommendations regarding employment, promotion, demotion, transfer, retention, or exceptional performance increases.
  • Manage routine correspondence, draft replies, and route communications to appropriate divisions; prepare non-routine correspondence as requested.
  • Assemble information for speeches, staff meetings, and other executive purposes; take minutes as required.
  • Make travel arrangements, maintain expense accounts, and order office supplies as needed.
  • Operate standard office machines and equipment efficiently to support office operations.

Education And Experience

  • Bachelor’s degree from an accredited college or university required.
  • Relevant professional, paraprofessional, or sub-professional experience may substitute for education on a year-for-year basis, up to a maximum of four years.
  • Experience in administrative support, executive assistance, or office management preferred.

Skills And Competencies

  • Strong organizational, communication, and interpersonal skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Effective problem-solving, decision-making, and multitasking abilities.
  • Proficiency with standard office software and equipment.
  • Leadership experience in supervising and evaluating staff preferred.
