POSITION SUMMARY: The

Project Accountant 2

holds the qualities and responsibilities of PA 1, with a focus on maintaining records and processes related to the Owner Contract and Project Budget. The position works under the direct supervision of the Project Manager, with guidance from the Director of Project Accounting, and assists in the development and execution of the billing strategy of the Project Execution Plan. This role requires strong organizational and time management skills with effective communication and client service abilities.

Major Duties & Responsibilities

Process all material and subcontractor invoices for approval and inputs into the accounting system.

Review subcontractors pay application information (current contract value, stored materials, owner direct purchasing, retainage) and communicate irregularities to the Project Manager and Subcontractor as appropriate.

Request, collect and file partial and final releases of liens.

Track and assist with subcontractor insurance compliance renewals.

Request and obtain valid W-9s for new vendors.

Collect and process Certified Payrolls when required.

Receive and process payroll for hourly employees.

Assist with onboarding of new team members.

Assist with project setup processes, including Job Cost Budgets and Staff Rate verification.

Assist in review of owner contracts to identify contractual terms for accounting and billing requirements and document these in the Contract Abstract.

Attend pencil-copy meetings with subcontractors and owners and participate in PSR reviews and meetings.

Routinely perform reconciliation and audit reviews to identify variances; communicate findings and pursue resolution.

Work with the Project Manager to create and monitor Billing Forecasts and Change Management.

Prepare and process Owner billings on a schedule of values in accordance with contract requirements and MCC Standards (in ERP).

Generate billing backup detail and reconcile billings against job cost per MCC Standards.

Prepare Job Cost Corrections as required.

Review NR forecasting for accuracy against actual costs incurred.

Manage the AP/AR process in VISTA and coordinate vendor payments with Corporate AP staff to ensure policy compliance, including pay-if-paid provisions.

Set up and maintain general subcontractor correspondence and accounting files in the document control system.

Maintain records of computer equipment and prepare equipment transfers as needed.

Assist the Superintendent or Safety Manager in maintaining OSHA documentation and postings.

Assist in Project Close Out processes.

Develop a basic understanding of various delivery methods and work across multiple projects of varying sizes and complexities.

Provide general administrative support to the project team as requested.

Adhere to guiding principles and the Way We Work.

Other duties as assigned.

Job Skills & Abilities

Strong computer skills; proficient in Microsoft Office and able to learn new programs quickly.

Comfortable working in a paperless environment.

Experience with Vista or similar accounting system/ERP.

Good time management and organizational skills.

Ability to analyze, identify, and resolve AR/AP issues.

Team player with dependable performance.

Basic understanding of different delivery methods and project size variations.

Minimum Qualifications

High school diploma or GED.

4-year bachelor’s degree or relevant accounting experience.

6 years of industry experience.

Project Location: College Station.

Working Conditions

Ability to stand, bend, sit for long periods; ability to speak and hear in meetings and calls.

Use of hands to type, handle, or control objects; occasional lifting up to 25 lbs.

Occasional travel required, primarily in the metropolitan area; valid Driver’s License may be needed.
