The Facilities Planner/Scheduler will support daily maintenance work control processes, plan and schedule work for trades including electricians, instrumentation/controls, BMS, HVAC, plumbers, GMTs and others. The role involves monitoring the CMMS or other work order systems to ensure best-in-class, standardized usage practices and effective execution of maintenance work control. The position requires independent direction of work through the system and will serve as a liaison between the scientific community, vendors, and the maintenance team to repair and maintain facilities equipment. Responsibilities
Maintain professional and customer-oriented relationships with team members, internal and external customers, service providers, and building occupants. Provide logistical coordination with facility partners such as lab personnel, science lines, maintenance teams, purchasing, security, and other facilities customers. Partner with business customers coordinating corrective actions until resolution is complete. Maintain proficiency in CMMS work order system to update equipment history, access material inventory management, and schedule, plan, and communicate daily activities of facilities work. Maintain and monitor backlog for adherence to industry standards. Prioritize work through a defined protocol of process criticality and equipment redundancy. Review work requests/orders for accuracy and clarity; engage appropriate resources to set preliminary priority. Estimate work order completion times and compare to actual performance. Verify all material, information, tools, and labor are available prior to scheduling. Participate in redundancy and contingency planning for emergency situations. Use critical path methods and other planning methods to coordinate and optimize workflow. Estimate and define requirements for total labor, materials, special tools, equipment, and skill sets for all work, including complex projects such as plant shutdowns or plant improvements. Maintain communication with facilities maintenance teams and customers to ensure schedules are maintained. Plan workflow for each trade and operation according to established customer schedules. Review and approve field changes as needed, providing inspections for timeliness and quality of work. Assist the Facilities Lead with planning on multiple projects. Comply with all company policies and procedures and adhere to company standards. Perform other job-related duties and special projects as requested. Demonstrate superior customer service, integrity, and commitment to innovation, efficiency, and fiscally responsible activity. Support safety program as necessary. Perform other duties as assigned by Manager or Supervisor. Requirements
High school diploma or demonstrated equivalent. Three years of experience in business administration, operations support, or a related role in facility management, maintenance planning, engineering, or construction. Demonstrated experience in a high-visibility customer service role with multiple customer streams. Ability to obtain a security access badge at the client’s location. Strong written and oral communication skills and ability to work in a team environment. Ability to work overtime, holidays, various shifts, weekends, and alternative schedules. Ability to read and understand information in various documents or on a computer screen; proficient in Microsoft products. Ability to obtain and maintain facility credentials/authorization; US Citizenship or Permanent Residency may be required for credentials. This position does not include sponsorship for United States work authorization. Physical/Special Requirements
Regularly lift up to 50 lbs. Regularly climb ladders, steps, and scaffolding. Repetitive motions: bend, stoop, squat, kneel, stretch, reach, wrist movement. Walk extensively throughout the plant during shift. Work at an accelerated pace in emergency conditions. Differentiate colors pertaining to wire color-coding. Wear steel-toe safety shoes, safety glasses, gloves, hard hats, and other PPE as needed. Cope with job-related stressors. Preferred Qualifications
Technical degree preferred. Experience coordinating vendors and subcontractors. Working knowledge of a CMMS such as EAMS, MAXIMO, or related systems. Ability to manage several projects simultaneously. Strong proficiency with Microsoft Office, especially Excel and Visio. Experience in GMP or regulated environments (e.g., hospitals, biomedical or pharmaceutical campuses). Ability to read repair manuals, specifications, drawings, and schematics. Experience with heavy industrial or manufacturing plant systems (steam, chillers, HVAC, turbines, boilers, etc.).
