Overview Executive Assistant role located in New York City, NY. Provide high-level support to the CEO and CFO, manage calendars, arrange travel, handle expenses, and support daily operations. Proactive, highly organized, and able to handle sensitive information with discretion.

Location & Schedule Location: New York City, NY. 4 days in office; with occasional business travel. Job type: Exempt. Work schedule fluctuates based on workloads during weekdays with afterhours / weekend work as needed.

Key Responsibilities

Manage and prioritize complex calendars for the CEO and CFO, ensuring efficient scheduling of meetings and appointments.

Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation.

Process and track expense reports, reimbursements, and credit card reconciliations in a timely manner.

Handle confidential information with discretion and maintain a high level of professionalism.

Support special projects, events, and other ad hoc requests to ensure smooth executive operations.

Qualifications

2-5 years of experience as an Executive Assistant or in a similar high-level administrative support role.

Ability to work independently, anticipate needs, and adapt in a fast-paced, dynamic environment.

Proven ability to manage complex calendars, travel arrangements, and expense reporting for senior executives.

Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and communication tools such as Zoom, Teams, and Slack.

Strong organizational and time-management skills with the ability to prioritize competing demands.

Excellent written and verbal communication skills, with professional presence when interacting with stakeholders.

High level of discretion and judgment when handling sensitive and confidential information.

Compensation & Benefits Salary range: $55,000.00 - $60,000.00. Benefits include comprehensive medical, dental, and vision plans; 401(k) match; paid parental leave; Continuing Education Reimbursement; Charitable Donation Matching; and access to client-event tickets when available.
