Position Overview RGA is searching for a Proposal Coordinator who shares our passion for cultural resources and is excited to design marketing initiatives that reflect our mission and values. This role offers a dynamic blend of marketing, proposal writing, and coordination—an ideal opportunity for someone who enjoys bringing creativity and strategy together. Key Responsibilities

Coordinate and manage a high-volume proposal pipeline, including full coordination, technical writing support, and qualifications-related materials development.

Lead proposal efforts by developing schedules, delegating tasks, and ensuring on-time, compliant submissions.

Collaborate with technical staff to gather and tailor content, including project descriptions, resumes, and cover letters, to align with client requirements.

Write and edit non-technical proposal content, including capabilities statements, firm introductions, and standard narratives.

Independently design and format proposals, qualifications packages, and marketing materials using Adobe InDesign and Microsoft Office.

Develop and maintain boilerplate content, graphics templates, and marketing collateral in line with company branding.

Identify, track and evaluate RFP opportunities via multiple procurement portals; assess fit and distribute relevant leads to technical staff.

Update and maintain Customer Relationship Management (CRM) system, including contacts, pursuits, and project data to report on key proposal metrics and aid business development strategies.

Support internal and external marketing efforts, including conferences, networking events, and sponsorships.

Coordinate the creation of visual content, such as proposal covers, org charts, infographics, and presentation slides.

Assist with the preparation of internal documents such as certification applications, team bios, and recruiting materials.

Ensure compliance with firm QA/QC processes and maintain consistency across all proposal and marketing deliverables.

Qualifications

Bachelor's degree in marketing, Communications, English, Business, Anthropology, Archaeology, or a related field.

Minimum 2 years of experience in marketing, proposal coordination, or related roles (preferably in AEC, environmental, or cultural resources sectors).

Demonstrated experience coordinating complex, deadline-driven proposals and qualifications packages.

Strong writing, editing, and proofreading skills.

Proficiency with Adobe InDesign (preferred); experience with Photoshop or Illustrator a plus.

Strong skills in Microsoft Office Suite, especially Word, Excel, and PowerPoint.

Experience using a CRM system to manage contacts and track opportunities.

Ability to manage multiple projects simultaneously and prioritize under tight deadlines.

Strong organizational skills and attention to detail, especially in formatting and content accuracy.

Familiarity with agency procurement processes and RFP requirements.

Ability to synthesize input from multiple contributors into a cohesive and compliant proposal.

Comfortable working independently and collaboratively with cross-functional teams.

Knowledge of, or interest in, cultural resources management, history, archaeology, environmental consulting, or a related field is a plus.
