A boutique financial services firm in Oakbrook Terrace is looking for a hands-on
Executive Administrative Assistant
to join their small, tight-knit team.
Reporting directly to the COO, this person will serve as the go-to administrative partner supporting the operations, compliance, and accounting functions. You’ll handle everything from coordinating office logistics to assisting with reports, presentations, and light bookkeeping.

Key Responsibilities
Oversee day-to-day office management including supplies, maintenance, and vendor coordination
Manage files, scanning, DocuSign tracking, and general document organization
Support scheduling, light travel, and small team events
Assist with report formatting and PowerPoint presentation preparation
Handle light financial administration such as bill payments, expense tracking, and spreadsheet management
Support money movements and track licensing renewals
Step in wherever needed — from replenishing the fridge to organizing data
Qualifications
7–10+ years of administrative or executive assistant experience
Experience in financial services or a smaller office environment preferred
QuickBooks experience is a plus
Strong Excel and PowerPoint skills
Highly organized, adaptable, and comfortable in a hands-on role
Team-oriented, professional, and proactive
Compensation & Schedule
Compensation: $75,000–$85,000
Schedule: Full-time onsite, Monday–Friday (40 hours per week)
Type: 1099 Contract
Benefits: Insurance stipend, unlimited PTO, and free onsite gym membership
Dress Code: Casual
