We are looking for a detail-oriented Executive Assistant to support the daily operations of our hospitality team in Oakhurst, California. This contract position requires someone with exceptional organizational skills and the ability to handle scheduling, travel arrangements, and administrative tasks with precision and efficiency. The ideal candidate will have a proactive approach to problem-solving and a strong ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
• Manage and maintain executive calendars, ensuring all appointments and meetings are accurately scheduled.
• Arrange and coordinate domestic and international travel plans, including flights, accommodations, and transportation.
• Prepare detailed itineraries for business trips and events to ensure smooth execution.
• Organize and facilitate executive meetings, including preparing agendas and taking precise meeting minutes.
• Compile and distribute meeting minutes to relevant stakeholders for follow-up and record-keeping.
• Provide general administrative support, including data entry, correspondence, and document preparation.
• Ensure timely communication and coordination across different departments and parties.
• Handle confidential information with discretion and maintain the highest level of professionalism.
• Assist in drafting reports and presentations for executive-level discussions.
• Monitor deadlines and prioritize tasks to ensure efficient workflow.• A minimum of 3 years of experience in an Executive Assistant or similar role.
• Proficiency in calendar management and scheduling tools.
• Demonstrated ability to arrange and coordinate complex travel plans.
• Strong skills in taking and preparing meeting minutes.
• Typing speed of at least 45-60 words per minute.
• Excellent organizational and time management skills.
• Ability to handle sensitive information with confidentiality and professionalism.
• Strong communication skills, both written and verbal.
