Role Overview
We’re looking for a high performing Executive Assistant to support our CEO and help maximize their focus, efficiency, and strategic output. As a core member of the team, you’ll be responsible for managing the CEO’s day-to-day priorities: from inbox and calendar management to stakeholder communications and strategic planning logistics. This is a mission-critical role for someone who thrives on structure, is energized by helping others succeed, and operates with discretion, urgency, and sound judgment.
Responsibilities
Inbox & Communications Management
Manage, triage, and respond to a high-volume email inbox Categorize and assign emails into actionable tasks (e.g., Urgent, Delegate, Awaiting Reply, FYI) Track and follow up on key communications, decisions, and deadlines
Calendar & Meeting Coordination
Own and optimize the CEO’s daily and weekly calendar Schedule internal and external meetings based on shifting priorities Build in focus blocks to protect time for deep work Monitor for conflicts and realign the calendar proactively as priorities shift
Strategic Support & Special Projects
Prepare documents, talking points, and light research when needed Take on CEO’s administrative duties Liaise cross-functionally on behalf of the CEO to ensure continuity and follow-through Support high-priority initiatives and fast-moving projects
Board, Investor & External Stakeholder Coordination
Coordinate logistics and materials for board meetings Support the preparation of decks and financial updates for investors Manage communications and follow-ups with key external stakeholders
Operations & Workflow Optimization
Build and maintain lightweight systems to track tasks, priorities, and deadlines
Confidential & Personal Assistance
Handle sensitive business and personal matters with discretion and sound judgment Maintain strict confidentiality across all matters
What You'll Bring
3-5+ years of experience in a corporate environment Strong organizational and time-management skills; thrives under pressure Outstanding written and verbal communication abilities Proactive mindset with a “no task too small” attitude Experience managing multiple complex workflows simultaneously High integrity, discretion, and emotional intelligence Proficiency with productivity and project management tools (e.g., Google Workspace, Excel etc.) NYC-based with ability to work in-person at least 4x/week

Pay range and compensation package
Salary range for this position: $75,000 to $100,000 per year. Salary may vary based upon relevant experience.
