Responsibilities

Professional Support

Calendar & Coordination:

Manage the CEO’s professional and personal schedule, including calendars, agendas, email and phone correspondence, client/vendor meetings, and other logistical arrangements.

Communication:

Handle written and verbal communications on behalf of the CEO in a timely, professional manner, ensuring seamless coordination with internal teams and external stakeholders.

Cross‑Functional Liaison:

Collaborate closely with various departments to support high‑level operations and act as a bridge between the CEO and the wider team.

Scheduling & Information Flow:

Coordinate complex calendars and meetings, managing the flow of information to and from the CEO while keeping the CEO’s best interests in mind.

Travel Management:

Arrange and oversee all aspects of the CEO’s travel plans—flights, accommodations, and transportation—and accompany the CEO on trips to ensure all logistics and needs are handled smoothly.

Administrative Support:

Provide comprehensive administrative support, such as preparing meeting notes and presentations, managing monthly expense reports and budgeting, and handling any ad‑hoc tasks or projects to facilitate smooth operations.

Execution & Follow‑through:

Proactively follow up on pending tasks and executive directives to ensure initiatives are executed on time and nothing falls through the cracks.

Personal Support

Personal Assistance:

Serve as the “hands and feet” of the CEO for personal errands and tasks, both planned and on‑the‑fly, to help the executive stay focused on business priorities.

Household & Lifestyle Management:

Manage personal logistics for the CEO, including coordinating with household staff, vendors, or contractors, arranging maintenance or services, handling personal shopping or gifts, and managing mail and deliveries.

Organization:

Keep the CEO’s personal and work environments (home, office, travel accommodations, etc.) organized, clean, and well‑maintained at all times.

Research & Reservations:

Book reservations (travel, restaurants, events) and conduct thorough research for any personal or professional needs. Anticipate the CEO’s needs in advance and ensure all preparations are in place to meet them.

Requirements

Location:

Must be based in the New York City area.

Experience:

3–5 years of experience as an Executive Assistant (or in a comparable executive support role), preferably in a startup or high‑growth company environment.

Travel:

Willingness and ability to travel frequently alongside the CEO, including internationally, on short notice. Valid passport required.

Communication & Collaboration:

Excellent verbal and written communication skills, and a cooperative attitude for working closely with team members at all levels.

Emotional Intelligence:

High level of emotional intelligence, cultural sensitivity, and the ability to handle interpersonal relationships judiciously and empathetically.

Calm Under Pressure:

Ability to remain calm, composed, and effective in high‑pressure or rapidly changing situations.

Adaptability:

Adapts quickly to the CEO’s work style and preferences; able to pivot and adjust plans based on immediate priorities and feedback.

Confidentiality:

Proven ability to maintain strict confidentiality and uphold integrity in handling sensitive information and tasks.

Technical Proficiency:

Proficiency with office and productivity tools such as Microsoft Office (Excel, Word, PowerPoint), Google Workspace, Slack, and other relevant software.
