Position Summary
We have an exciting opportunity to join our team as a Secretary I-Intake/Scheduler – Manhattan. In this role, the successful candidate will perform a variety of front-end administrative tasks to support practice operations including greeting patients, answering calls, scheduling patient appointments and other administrative duties as needed.
Job Responsibilities
- Greets patients professionally both in person and on the phone.
- Answers patient questions and refers issues to the appropriate contact.
- Optimizes provider schedules and patient access by maintaining efficient scheduling templates.
- Promotes a positive patient experience throughout all interactions.
- Ensures availability of treatment information by updating patient records.
- Verifies insurance information and obtains details needed to schedule and bill for services.
- Maintains office inventory and equipment by anticipating supply needs.
- Performs intake functions including registration, form collection, data update and co-payment collection.
- Gathers all patient demographic and insurance data and verifies eligibility electronically.
- Enrols patients above the age of 5 into Patient Secure by obtaining palm scan and photo.
- Promotes the utilization of Check Mate kiosks and assists patients in using them as needed.
- Scans necessary documents into Epic following scanning guidelines and best practices.
- Monitors waiting areas to identify and communicate wait times.
- Performs check-out functions including after visit summary, scheduling follow-ups and collecting payments as needed.
- Schedules routine appointments and follow-ups and verifies demographic information during subsequent visits or calls.
- Answers patient questions to ensure understanding and satisfaction, referring to senior staff or billing representative when necessary.
- Releases medical records in accordance with HIPAA and FGP ROI guidelines within a 10‑day timeframe.
- Maintains patient privacy and cleanliness of all personal and patient spaces.
- Exercises skill in prioritizing assignments and communicating effectively with physicians, nurses and staff at all levels.
- Performs other related duties as needed by providers and supervisors.
Minimum Qualifications
- High School Diploma.
- Excellent organizational, interpersonal and verbal and written communication skills.
- Strong customer service orientation.
- Basic knowledge of word processing, spreadsheet, database and Internet applications.
- Accurate keyboarding skills.
- Ability to complete multiple tasks efficiently and thrive in a team‑work environment focused on positive patient care experience.
Preferred Qualifications
- Intermediate knowledge of computer‑based scheduling and appointment programs strongly preferred.

Salary Transparency
NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for this role is $54,164.99 - $54,165.00 annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses, differential pay or other forms of compensation or benefits.
