General Summary

The Office Assistant is responsible for assisting citizens who come to or call the Dubuque Law Enforcement Center. The ideal candidate is someone who desires to be part of an organization that values service, people, integrity, responsibility, innovation, and teamwork. Strong customer service skills are essential.

Distinguishing Features of the Class

The work in this class requires strong communication and customer service skills. The ability to work both independently and as a team is essential. Also required are the abilities to remain calm and patient with citizens who are often upset, distraught, and/or experiencing brain health issues.

Job Duties

  • Receive incoming calls, both internal and external, and handle them appropriately and with professionalism.
  • Greet and assist citizens who call or come to the DLEC with various inquiries.
  • Assist citizens with scheduling ride‑along(s).
  • Assist citizens with parking ticket resolution.
  • Assist other administrative personnel with tasks as requested.
  • Receive lost/found property from citizens.
  • Conduct warrant/sobriety checks for persons seeking shelter.
  • Assist citizens with retrieving impounded vehicles.
  • Notify officers of continued or cancelled court proceedings.
  • Facilitate DLEC tours by coordinating with the Dubuque Police Auxiliary.
  • Transfer callers or direct citizens to the applicable party within the DLEC.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Administrative/Clerical – Knowledge of modern administrative, office, and clerical procedures, systems, and equipment such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.
  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services which includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Active Listening – Listening to others, not interrupting, and asking good questions.
  • Deductive and Inductive Reasoning – Coming up with general rules and answers from lots of detailed information and using them to solve problems.
  • Computers and Electronics – Knowledge of electronic equipment, computer hardware and software, including applications and programming.

Minimum Qualifications

  • High school diploma or equivalent; and
  • Experience or on-the-job training related to the duties of the position; or any combination of education and experience equivalent to the position qualifications.
  • Possession of or ability to obtain National Crime Information Center (NCIC) Certification within one month of hire.

Preferred Qualifications

  • College level work in accounting or business fields which includes courses in bookkeeping, accounting and/or payroll.
  • Experience working with a diverse workforce and population.
  • Customer service experience.

Schedule

  • 40-hour work week.
  • 8:00 a.m. – 4:00 p.m., Monday through Friday; or add a half hour to each day (Monday through Thursday) and leave at 2:00 p.m. on Friday.

Residency Requirement

Employee shall establish their principal place of residence within fifty (50) miles of the corporate limits of the city of Dubuque as soon as practicable after appointment, but within two years of appointment.
