California Lutheran University seeks an Admissions Engagement Operations Coordinator to support Campus Visit Program planning, organization, and execution. Plan, organize, and implement all aspects of the Campus Visit Program, including daily campus tours, group visits, and the welcome reception area. Support Undergraduate Admission Office with special projects, events, and supervision of student staff to ensure an exceptional visit experience. Oversee the welcome area serving both Undergraduate and Graduate Admission Offices; manage appointments, meetings, and day-to-day operations of the shared space. Oversee and manage bookings for the joint meeting area. Serve as liaison between administrators, university personnel, parents, students, educational institutions, vendors, and other constituencies; coordinate with departments across the college. Oversee the welcome reception area: greeting, check-in, answering main office phone, and responding to general admission and visit program emails. Provide follow-up communications to prospective students via telephone, email, and mail. Enter prospective student and applicant information into SLATE CRM accurately. Coordinate Daily Visit Program guidelines, policies, and procedures; work with leadership to set tour routes, scripts, and presentations consistent with university messaging and branding. Manage special tour requests for groups outside standard offerings; coordinate university-arranged tours for special guests. Schedule visits and meetings with prospective students, including tours, information sessions, coach meetings, faculty meetings, and classroom visits. Recruit, hire, train, and supervise student workers; contribute to events as part of the Events Team. Perform administrative and clerical duties, including recordkeeping, greeting visitors, and processing information related to assigned tasks. Maintain and update departmental calendars; monitor scheduling platforms; manage conference space with priority for visitor presentations. Organize and maintain documentation for internal and external departmental meetings; proofread and verify materials for accuracy and compliance. Respond to complaints, concerns, and information requests with confidentiality, tact, and sensitivity; refer matters as needed. Maintain records and logs; ensure compliance with regulations and policies; stay current on applicable requirements. Provide follow-up communications to students, faculty, and staff. Any combination equivalent to: Bachelor's Degree in a related field and 2 years of administrative office experience Preferred Qualifications

3-4 years as an administrative assistant in a non-profit, corporate, or higher education setting Experience in higher education including student services and/or admissions Experience in customer service-related roles Experience with Slate CRM and Colleague databases Fluency in Spanish Licenses And Other Requirements
