POSITION OBJECTIVE The Assistant Director of Admissions Visit Experience plays an important role in shaping an engaging and welcoming campus visit experience for prospective students, families, and educators. This position oversees the operations and enhancement of the campus visit program, supervises a team of tour guides and welcomes team members. This position is essential in driving institutional engagement and fostering connections that inspire future students to join our community. The assistant director will lead by example with enthusiasm and innovation, ensuring the campus visit experience reflects the university¿s core mission and values. Robust supervision and direction of a team of student tour guides and admission welcome team members should ensure that Case Western Reserve University is presented authentically, and with warmth and attention to detail. ESSENTIAL FUNCTIONS In coordination with the director of orientation and new student transitions this position will assist in the management of the university¿s student tour guide program. This includes hiring and training over 100 student tour guides. This position will be responsible for submitting all hiring paperwork, management of the schedule and approving hours in a timely manner. (25%) Oversee the day-of-visit operations for the Office of Undergraduate Admission Visitor Center. Ensure that all visitors have a welcoming, thoughtful visit experience. Communicate effectively with staff and students regarding specific needs for each day, event, experience to ensure a smooth visit experience for all visitors. (20%) Make decisions on the admissibility of candidates who apply for undergraduate admission to the university. Analyze and interpret high school and college transcripts, interpret standardized test scores, assess academic achievement (must be able to assess strength of courses with the same title offered at different high schools), evaluate quality of essays, interview reports and letters of recommendation. Synthesize this information to predict the likelihood of success at the university in the candidate¿s indicated area of academic interest. Make admission decisions based on academic program, contributions to high school and community through extracurricular activities, quality of high school, test scores and make judgements based on demographic information in comparison to other candidates. Evaluate and make admission decisions for candidates based on desirability to the University in meeting a multitude of enrollment goals, which requires application of variable standards. Make judgements and identify special cases that need to be reviewed by the director. Admission Counselors have the authority to make decisions on the admissibility of candidates in approximately 95% of admission cases. (15%) Manage daily logistics related to the tour experience. This includes supporting the development and execution of a hybrid walking and trolley campus tour for prospective students and their families. Ensure facility access for our tours, regular review of scripts and routes, and periodically spot-check tour guide engagement with the public. (15%)

NONESSENTIAL FUNCITONS In coordination with the associate director of admission for events, this position will assist in the day-to-day management of the student welcome team. Assisting with hiring and training of 10-15 students who manage the front desk operations of the admissions visitor center. (5%) Coordinate all special group tours. School groups, high school counselor tours and special tours arranged by the university will be scheduled in conjunction with daily visit operations. (5%) Lead information sessions both on and off-campus. Represent the university with strong knowledge of the university. Be able to read the audience and quickly and while thinking on one¿s feet, customize the presentation to their needs. Must listen closely to the concerns of the student, and answer questions even when not articulated well by the parent/student/counselor. (5%) Coordinate special events off-campus to support admission recruitment activities. Several times a year, the admission office hosts off-campus events for prospective students and their families. Contact vendors to secure space, set-up, AV, and parking needs for the event. Work within a budget to ensure proper use of university spending. (5%) Manage special tours, such as the daily engineering tour. The office of Undergraduate Admission offers prospective students the opportunity to add additional specialty tours relating to their area of study. Work with the academic department to coordinate the schedule and manage this tour in conjunction with the rest of the daily visit for students. (5%) Perform other duties as assigned. ( CONTACTS Department: Daily contact with all department staff to review the daily schedule and collaborate on special projects. University: Regular contact with faculty and staff across the university to plan special events, access to buildings/labs for tours. External: Regular contact with prospective students and their families, guidance counselors, off-campus vendors. Students: Daily contact with student office workers, tour guides to carry out needs of the daily visit schedule. SUPERVISORY RESPONSIBILITIES None QUALIFICAITONS Experience: 2 to 4 years of professional work experience required, preferably in undergraduate admission, orientation, or similar experience. Education: Bachelor¿s degree required. REQUIRED SKILLS Strong presentation skills. Ability to develop, enhance and nurture relationships with prospective freshmen and their families while providing consistent, accurate, and usable information to encourage the matriculation of these prospective students in accord with the academic and professional goals of the university. This individual will also work closely with current students, staff, and external sources and must possess superior interpersonal skills. Must demonstrate a customer service orientation and ability to collaborate with students, parents, staff, and outside organizations. Must be able to interpret and explain university policies and the admission process to prospective students and parents. Excellent written and oral communication skills; superior organizational, reporting, and analysis skills mandatory. Ability to read, comprehend and synthesize quickly. Ability to work under pressure and meet deadlines. Must be mature, professional, and discreet. Self-motivated and demonstrate leadership skills and possess the ability to work in teams, multitask, and facilitate programs. Meticulous attention to detail. Ability to be diplomatic in a high-pressure atmosphere. Respect for confidentiality. Strong facility with end-user technology such as laptop computers, smart phones, and tablets. Ability to learn new software programs quickly required. Superior knowledge of the university. Demonstrated history of successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest. Ability to meet consistent attendance. Ability to interact with colleagues, supervisors and customers face to face.

WORKING CONDITIONS Office setting, with meetings and activities in buildings throughout the campus. Position may require some evening and weekend work. This position involves responsibility for working with individuals under 18 years of age. This position is not eligible for hybrid/remote work.
