We’re partnering with a 100% employee-owned general contractor recognized across the Western U.S. for high-performance delivery on complex builds to hire a Contracts Administrator. With over 50 years of experience, they handle everything from large ground-up facilities to highly technical tenant improvements in live, occupied environments—serving healthcare, aerospace, entertainment, luxury retail, housing, and energy clients. The role: Contracts Administrator Must-Haves

2+ years as a Project or Contracts Assistant in construction or project management Proficiency in Microsoft Outlook, Excel, and Word Hands‑on support for Project Managers with documentation, bids, and subcontracts Excellent organization and attention to detail for document control Clear written and verbal communication with management, team members, and vendors Ability to analyze information and proactively resolve administrative/accounting issues Ability to be fully onsite Nice‑to‑Haves

Bachelor’s degree or coursework in Business Administration, Accounting, or a related field Experience with construction accounting platforms (e.g., Sage, Vista) Prior experience supporting multiple Project Managers at once Support one or more Project Managers with day‑to‑day project administration, with a strong focus on accounting coordination to ensure projects meet cost standards. This role keeps bids, contracts, change orders, invoices, and closeout materials organized and moving. Key Responsibilities

Coordinate bid packages and proposals (calls, emails, document prep, shipping). Own project document control: create, review, collect/distribute, and file items such as: Job initializations, preliminary notices, AIA contracts, team lists Subcontracts, purchase orders, AIA and subcontract change orders Sub/Vendor invoices, client invoices, schedule of values, lien releases Use company accounting software to run reports, research issues, and resolve job‑cost discrepancies. Track and follow up on open Accounts Receivable with PM(s). Assist with meeting minutes, submittals, and job closeout documentation. Build productive working relationships with management, staff, vendors, and clients. Provide occasional support to the Director of Administration (e.g., front desk coverage, mentoring teammates). Desired Skills & Experience

2+ years as a Project/Contracts/Project Assistant within construction or construction management (preferred). Proficient in Microsoft Outlook, Excel, and Word. Experience with construction accounting software (e.g., Sage, Vista) preferred. Strong organization, accuracy, and communication skills. Bachelor’s degree in a business‑related discipline or equivalent experience. Mandatory Policy:
