Job Summary:

The Coordinator, Development Operations is responsible for all WMC Network gift processing, acknowledgments and gift receipting, invoicing and pledge reminders, expense tracking, and mailings. The position reports to the Director, Development Operations.

Responsibilities

Opens and logs mail daily to review and code where gifts are designated for gift processing.

Processes all gifts via mail, credit card, online, payment processor imports, gifts-in-kind, donor advised funds, payroll deductions, and wire transfers (stocks and cash).

Scans all gift documentation into Salesforce and shared drives.

Ensures proper entry of gifts into the database with appropriate coding and packaging and acknowledgement letters/tax receipts are produced in a timely manner.

Ensures all cash, checks, and credit card donations are batched to Finance Department in a timely basis with appropriate documentation and sends daily batch deposit reports to Finance.

Prepares and mails acknowledgment letters, tax receipts, and tribute letters within 24‑48 hours of receiving gift.

Generates and mails pledge reminders and invoices.

Assists with payment voucher creation for vendor invoices.

Assists on‑going data cleanup projects.

Maintains accuracy of contact information in database and review gift, pledge, biographical and other related reports to review data for accuracy and make corrections when needed.

Works in a multi-disciplinary, team‑oriented environment.

Performs other related duties as needed.

Qualifications / Requirements

One to three years of experience working in development.

Exposure to health care, strongly preferred.

Knowledge of leading Fundraising CRMs (Salesforce, ROI Solutions, RaiserEdge) as well as digital platforms (Marketing Cloud, Classy, Fonteva, Conga) preferred.

Salesforce NPSP experience strongly preferred.

High school diploma or equivalent, required.

Associates degree or Bachelor’s degree preferred.

Highly organized with the ability to work independently while demonstrating initiative, innovation, and flexibility.

Strong verbal and written communication skills with the ability to interact and communicate professionally with individuals at all levels of the organization.

Computer proficiency in Microsoft Suite applications, including strong Excel and Word.

Strong knowledge of applicable IRS regulations regarding philanthropic contributions and Generally Accepted Accounting Principles (GAAP).

Strong knowledge of gift processing procedures, established record of database management, fundraising processes, and donor relations.

Working knowledge of fundraising principles and practices desirable.
