Overview Director, Gift Administration at the University of California, Riverside. The role oversees the entire gift cycle to ensure that all funds raised reach their designated purpose. The incumbent administers all gifts, pledges, and memberships accepted on behalf of the university, and maintains the donor database to house, track, and manage data regarding donors, prospects, alumni, special events invitees, VIP data, guest information, etc. The position ensures proper acceptance, tracking, recording, and reporting of gifts, pledges, and memberships in accordance with university policy, state/federal laws, and IRS regulations; advises management and fundraisers as needed. The incumbent maintains procedures for gift receipting, acknowledgement, gift notification, pledge reminders, and other system-related functions; monitors a records management policy and, in coordination with ITS/CMT, disaster recovery plan for hard copy and electronic development records. Regularly works with Foundation Accounting to reconcile gifts and with CMT support for data accuracy. Responsible for generating data for UCOP, CASE, and VSE reports as requested. Acts as a liaison with donors, University Advancement staff, business and accounting personnel at the University and other campuses to answer gift-related questions and/or to resolve gift-related problems. Other responsibilities include serving as a primary resource regarding gift and membership policy, IRS regulations, and gift data entry procedures; serves as a key member of the Administrative Services team, advising on functions critical to donor relations and the success of University Advancement.

Campus Presence Required, with Hybrid Accommodations.

The full salary range for the Director of Gift Administration is $93,200 - $174,200 annually. However, the expected pay scale for this position is up to $95,000 annually. Salary offers are based on education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. UC Riverside is unable to sponsor or take over sponsorship of an employment visa for staff. As a University employee, you will be required to comply with all applicable University policies and/or collective bargaining agreements, as amended from time to time. Federal, state, or local government directives may impose additional requirements.

Responsibilities

Administer all gifts, pledges, and memberships accepted on behalf of the university.

Maintain and update the database used to house, track, and manage data regarding donors, prospects, alumni, special events invitees, VIP data, guest information, etc., ensuring data are input correctly and updated on a regular cycle.

Ensure proper acceptance, tracking, recording, and reporting of gifts, pledges, and memberships in accordance with university policy, state/federal laws, and IRS regulations; advise management and fundraisers as needed.

Maintain procedures for gift receipting, acknowledgement, gift notification, pledge reminders, and other system-related functions; monitor a records management policy and, in coordination with ITS/CMT, disaster recovery planning for hard copy and electronic development records.

Qualifications

Educational Requirements

Bachelor's degree in related area and/or equivalent experience/training.

Experience Requirements

8 - 13 years of related experience.

Previous experience working in higher education.

Minimum Requirements

Broad knowledge of financial transactions and financial systems, as well as related policy, accounting, and regulatory compliance requirements.

Strong skills in use of spreadsheet and database software.

Strong interpersonal skills and ability to work effectively across the organization at all levels.

Skills include sophisticated service orientation, ability to multi-task effectively in a varied, high-volume environment, sound judgment and decision-making, reasoning, ability to develop original ideas to solve problems, and effective verbal and written communication skills.

Knowledge and understanding of internal control practices and their impact on protecting University resources.

Strong interest in keeping current with best practices in the field, across the system, and within the University Advancement.

Strong analytical and critical thinking skills with attention to detail, including the ability to understand and improve complex processes and resolve database issues.

Preferred

- Previous supervisory/managerial experience; experience with Salesforce and ascend/Kindsight CRM.
