Support Coordinator - OC Radiology Oncology - Full Time 8 Hour Days (Non-Exempt) (Non-Union) Keck Medicine of USC – Hospital, Newport Beach, California The Support Coordinator will assist with all aspects of patient care. Coordinate clinic schedules, patient appointments and follow up. Answers patient phone calls, verify insurance benefits, prepare charts for clinic and prepare charge tickets for clinic visits. They will coordinate scheduling of all surgeries and diagnostic testing for patients, including sending pre-op packets to patients with surgery instructions, preparing surgery charge tickets and compiling letters of medical necessity. The Support Coordinator will assist with office clerical duties and may support the multidisciplinary team in managing patient care across all phases (In-take/Evaluation/Listed) by acting as a liaison between the clinic and referring physicians; assist in managing follow-up care for post-surgical patients by scheduling follow up appointments; and/or coordinate organized case flow of clinic scheduling. Must work with any and every Physician. Under the supervision of the Clinic Leader, the Support Coordinator performs front and back office administrative duties in a high-performing Radiation Oncology practice. This role is critical in maintaining efficient patient flow and delivering an excellent patient experience. Responsibilities include scheduling all new patient visits and follow-up appointments, answering patient phone calls, preparing charts, and completing new consult questionnaires. The role collaborates with other administrative personnel to assist with patient registration, insurance verification, insurance authorization, patient copay collections, and daily check-in/out. Flexibility to cover other satellite clinics and perform other duties as assigned is required.

Essential Duties

Clerical: Proficient with computer systems (e.g., Cerner). Enter information accurately, process new referrals, obtain outside medical records, enter demographics, provide medical records to the physician/multidisciplinary team, verify insurance and obtain authorization for visits and procedures. Schedule evaluations and clinic appointments in a timely manner, including laboratories, diagnostic testing, and consultations. Manage master schedule and operating flow to ensure a positive patient experience. Coordinate scheduling of diagnostic testing and send letters of medical necessity. Assist with clerical and scheduling needs, filing, and collection of supporting documentation for billing. Provide phone coverage and distribute messages to medical personnel. Read/write/respond to emails and voicemail within protocol. Patient Customer Service: Greet patients professionally, act as a single point of contact for patients and caregivers, and guide them regarding scheduling, paperwork, and follow-up appointments. Maintain professional demeanor, handle changes, and refer complex financial/insurance issues to financial counselors. Provide estimates of patient liabilities and assist with insurance benefits and alternative funding when needed. Facilitate communication among the care team and ensure patient confidentiality. Teamwork/Collaboration: Cover for sick time or leave as needed, work independently or in a team, maintain open communication with management, and stay informed of USC healthcare system changes. Clinical (if performing MA duties): Prepare patients for examinations, obtain and record vital signs, assist physicians with exams and procedures, ensure orders for medications/treatments are implemented, record patient information in chart/EHR, and determine patient care needs. Required Qualifications: High school diploma or equivalent 1 year experience (preferably as medical assistant or front office duties in a medical office or ambulatory care environment) Proven track record of customer service in public-facing roles Excellent communication skills in English (written and spoken) Comfort with computers and medical terminology; knowledge of various insurance types Preferred Qualifications: Specialized/technical training; graduate from an approved Medical Assistant program with Diploma/Certificate (required if performing MA duties) Familiarity with word processing, Microsoft Outlook, GE Centricity Business, Cerner, PBAR, scheduling systems; ability to navigate intranet and interpret online queries Knowledge of insurance billing, admitting, or registration in a hospital/medical office Bilingual abilities are highly desirable Required Licenses/Certifications: Fire Life Safety Training (LA City) – obtain within 30 days of hire and maintain by renewal (required within LA City only) Basic Life Support (BLS) Healthcare Provider from American Heart Association (required if performing MA duties) The hourly rate range for this position is $22.00 - $34.18.
