Job Title:
Executive Assistant
Position Overview The Executive Assistant (EA) will serve as the
right hand
to the CEO and COO, enabling them to operate efficiently and effectively by handling a wide range of
administrative, operational, and strategic support tasks . The ideal candidate is proactive, highly organized, resourceful, and capable of handling confidential information with discretion.
Key Responsibilities
Manage complex
calendars , scheduling internal and external meetings, prioritizing based on urgency and business goals. Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare materials for meetings and ensure executives have the necessary information in advance.
Coordinate
travel arrangements , including flights, accommodations, and itineraries.
Handle
expense reporting , reimbursements, and budget tracking for executive-level operations.
Prepare
presentations, agendas, briefing materials , and meeting notes as needed.
Internal & External Communications
Draft and manage
email communications
on behalf of the CEO and COO when needed.
Serve as a liaison between the executives and key stakeholders, partners, board members, and team leads.
Support
board meeting prep , including compiling decks, scheduling, and logistics.
Serve as a point of contact for internal and external stakeholders, managing communication on behalf of executives.
Draft and edit correspondence, reports, and presentations for leadership.
Operations & Project Support
Support day-to-day
administrative operations , ensuring the executives are focused on high-impact tasks.
Assist in tracking deliverables for key initiatives and follow-ups across departments.
Partner with HR, Legal, and Finance on confidential initiatives or cross-functional projects.
Assist in coordinating special projects and initiatives across departments, providing administrative support to ensure timely execution and completion.
Track and manage CEO and COO’s project timelines, ensuring deadlines are met.
Help coordinate
team offsites , executive events, or leadership summits.
Maintain a pulse on executive team morale and ensure seamless communication flow.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field (preferred).
2-4 years of experience as an Executive Assistant, Administrative Manager, or Chief of Staff supporting C‑suite executives (preferably in healthcare, healthtech, or high‑growth environments).
Exceptional
calendar and time management
skills. Strong organizational skills with the ability to multitask and prioritize in a fast‑paced environment.
Outstanding
written and verbal communication
abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
High degree of
professionalism, discretion, and integrity —especially when handling sensitive or confidential information. Excellent written and verbal communication skills, with a keen attention to detail. Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
Strong
problem‑solving skills
and ability to anticipate needs before they arise.
Strong interpersonal skills and the ability to interact effectively with all levels of the organization.
Bilingual in Mandarin Chinese
is a must.
Proficiency in tools like:
Google Workspace (Gmail, Docs, Calendar, Sheets, forms)
Zoom, Slack, Notion, ChatGPT
